Accounts Payable Specialist
Location: Irvine, CA
Schedule: Fully onsite initially; hybrid schedule possible after training and successful onboarding

Position Summary
Our client is seeking an Accounts Payable Specialist to join their growing accounting team in a newly created role. This position will own the full-cycle AP process, expense reimbursements, corporate credit card administration, vendor management, and reconciliations while partnering closely with managers across the organization. The ideal candidate is detail-oriented, has a strong accounting foundation, and can work independently in a fast-paced environment.
Key Responsibilities
  • Process high-volume accounts payable transactions (approximately 150 invoices per week)
  • Review, code, and enter invoices accurately and timely
  • Manage vendor relationships and resolve invoice and payment discrepancies
  • Process weekly payment runs, including ACH, check, and wire payments
  • Reconcile vendor statements and AP-related accounts
  • Ensure AP records are accurate and current for month-end close
  • Process employee expense reimbursements through Concur
  • Manage and reconcile corporate credit card transactions
  • Partner with department managers regarding invoice approvals, coding, and cost center allocations
  • Monitor AP aging and maintain accurate vendor records
  • Assist with month-end, audit requests, and financial reporting support
  • Support process improvements and help develop scalable accounting procedures
  • Provide occasional support with AR-related tasks as needed
Requirements
  • 3+ years of accounts payable experience
  • Experience managing full-cycle AP in a high-volume environment
  • Experience with NetSuite or other large ERP system is preferred
  • Strong understanding of invoice coding, reconciliations, and accounting principles
  • Ability to work independently with limited supervision
  • Excellent communication and relationship-building skills
  • Strong attention to detail and organizational skills
  • Proficiency in Microsoft Excel
  • Ability to prioritize multiple deadlines in a fast-paced environment
