Accounts Payable Specialist

Location: Richmond, VA

Position Summary

We are seeking a detail-oriented Accounts Payable Specialist to manage full-cycle accounts payable activities while supporting payroll operations. The ideal candidate will have a strong accounting foundation, experience handling confidential financial information, and the ability to thrive in a fast-paced, deadline-driven environment.

This role works closely with vendors, employees, Human Resources, and Finance leadership to ensure timely processing of invoices, accurate payroll support, and compliance with internal accounting procedures.

Key Responsibilities

Accounts Payable

  • Process full-cycle accounts payable, including invoice review, coding, and data entry

  • Ensure proper approvals, accurate general ledger coding, and timely payments

  • Manage vendor relationships and respond to invoice and payment inquiries

  • Reconcile vendor statements and investigate discrepancies

  • Assist with 1099 preparation and reporting

  • Maintain organized and compliant accounts payable records

Payroll Support

  • Assist with payroll processing on a recurring schedule

  • Review payroll information for accuracy, including time entries, deductions, and adjustments

  • Support payroll reconciliations and resolution of discrepancies

  • Maintain confidentiality and compliance with established internal controls

General Accounting

  • Assist with month-end close activities related to accounts payable and payroll

  • Prepare account reconciliations as assigned

  • Support internal and external audits by providing requested documentation

  • Partner with Human Resources and Finance on employee-related accounting matters

  • Perform additional accounting and administrative duties as needed

Qualifications

Required

  • Associate's degree in Accounting, Finance, or a related field

  • Minimum of 3 years of accounts payable experience

  • Payroll processing or payroll support experience

  • Strong understanding of accounting principles and accounts payable best practices

  • High level of accuracy, discretion, and attention to detail

Preferred

  • Bachelor's degree in Accounting, Finance, or a related field

  • Experience with accounting or ERP systems

  • Experience working in a professional services or corporate environment

Knowledge, Skills & Abilities

  • Strong organizational and time-management skills

  • Ability to manage multiple priorities and deadlines

  • Excellent communication and interpersonal skills

  • Proficiency in Microsoft Office, particularly Excel

  • Ability to analyze and resolve discrepancies efficiently

  • Strong attention to detail and commitment to accuracy

  • High level of professionalism and confidentiality
