Acquisitions Closing Analyst

The Acquisitions Closing Analyst supports the successful closing of single-family residential acquisitions by managing transaction documentation, title requirements, settlement statements, and closing readiness from contract execution through funding and post-closing handoff.

This role serves as a key liaison among internal teams, title companies, builders, brokers, lenders, and other transaction partners. The ideal candidate is highly organized, detail-oriented, comfortable managing a high-volume pipeline, and confident holding multiple parties accountable to firm deadlines.

Key Responsibilities

Transaction and Pipeline Management

• Manage a high-volume pipeline of residential acquisitions from executed contract through closing.
• Review purchase agreements and related documents to identify closing dates, contractual requirements, credits, fees, and key transaction terms.
• Maintain accurate transaction statuses, target closing dates, notes, and outstanding items within company tracking systems.
• Monitor critical deadlines and proactively escalate risks that could delay closing.
• Coordinate closing schedules with internal departments, title companies, builders, sellers, lenders, and other stakeholders.

Title and Document Review

• Review title commitments, tax certificates, surveys, legal descriptions, HOA documentation, deeds, closing protection letters, and related documents for accuracy and completeness.
• Confirm vesting, purchaser entities, property addresses, legal descriptions, and contract terms are consistent across all documents.
• Identify title exceptions, liens, taxes, HOA balances, survey issues, and other matters requiring resolution.
• Track requested title endorsements and confirm all closing requirements are satisfied.
• Ensure required documents are properly uploaded, named, and maintained within the appropriate file-management system.

Settlement Statement and Closing Review

• Review draft settlement statements for purchase price, earnest money, credits, prorations, commissions, title charges, recording fees, and other transaction expenses.
• Compare settlement statements against the purchase agreement, approved fee schedules, and internal records.
• Communicate requested revisions clearly and follow through until all figures are accurate and approved.
• Confirm final settlement statements, executed closing documents, and wire instructions are received within required timelines.
• Prepare files for internal clear-to-close approval and funding.

Communication and Escalation

• Serve as the primary closing contact for assigned acquisition transactions.
• Provide timely, professional updates regarding closing readiness, outstanding documents, and potential delays.
• Follow up assertively with external partners to obtain missing or corrected information.
• Escalate material risks, discrepancies, or missed deadlines to management promptly.
• Maintain clear documentation of decisions, approvals, and communications within each transaction file.

Post-Closing Support

• Confirm receipt of fully executed settlement statements, recorded deeds, title policies, and other required post-closing documents.
• Complete transaction records and support the handoff to accounting, asset management, property management, and other internal teams.
• Assist with reconciliation, reporting, audits, and the resolution of post-closing discrepancies.
• Ensure each file is complete and compliant with company document-retention standards.

Qualifications

• Bachelor’s degree in business, finance, real estate, or a related field preferred.
• One to three years of experience in real estate closings, title, escrow, transaction coordination, mortgage operations, or a similar field preferred.
• Experience with single-family residential acquisitions, bulk transactions, or institutional real estate is highly desirable.
• Working knowledge of purchase agreements, title commitments, settlement statements, deeds, surveys, tax prorations, and HOA documentation.
• Strong Microsoft Excel skills and experience with transaction-management or document-storage platforms.
• Ability to manage a large volume of transactions while maintaining accuracy and meeting strict deadlines.
• Strong written and verbal communication skills.

Work Schedule Expectations

Standard business hours apply; however, transaction deadlines and closing volumes may occasionally require availability outside normal working hours. The Acquisitions Closing Analyst must be willing and able to work extended hours in the evening or on weekends when necessary to meet critical deadlines, support high-volume closing periods, and resolve time-sensitive transaction matters.
