This contract-to-hire Executive Assistant opportunity supports Managing Directors and Directors within the Global Marketing & Digital Wealth team.

Description
- Provide proactive administrative support to Managing Directors and Directors
- Manage complex and high-volume Outlook calendars and meeting schedules
- Coordinate internal and external meetings, conference rooms, catering, and logistics
- Arrange and manage domestic and international travel itineraries
- Process and track expense reports and reimbursements through Concur
- Prepare, edit, and proofread presentations, reports, correspondence, and other business documents
- Anticipate executive needs and ensure materials are prepared in advance of meetings
- Serve as a point of contact for senior stakeholders, clients, and executive assistants
- Answer and screen phone calls, greet visitors, and provide exceptional client service
- Support ad hoc projects and provide general administrative assistance as needed
- Maintain a high level of organization while managing multiple priorities in a fast-paced environment
- Handle confidential information with discretion and professionalism

Profile
A successful Admin Assistant should have:
- Minimum 5 years of corporate administrative or executive assistant experience
- Experience supporting Managing Directors, Directors, or other senior-level executives
- Strong expertise in complex calendar management using Outlook
- Proficient in coordinating domestic and international travel arrangements
- Hands-on experience with expense reporting and reimbursements through Concur
- Advanced skills in Microsoft Office Suite, including Excel, PowerPoint, and Word
- Proven ability to manage multiple priorities in a fast-paced, high-pressure environment
- Strong communication skills with the confidence to interact with senior leadership and external clients
- Highly organized, detail-oriented, and proactive
- Self-starter who can work independently with minimal supervision
- Bachelor's degree required
- Professional, polished demeanor with excellent time management and problem-solving skills
Job Offer
