Seasonal Administrative Assistant – Customer Service

We are seeking a highly organized & customer-focused Seasonal Administrative Assistant to join our growing pool service company in Southold, NY.
This is a full-time, in-office seasonal opportunity with the potential to return year after year, offering winters off for the right candidate.
The ideal candidate is professional, detail-oriented, thrives in a fast-paced environment, and can confidently manage customer communication and administrative responsibilities during our busiest season.
Schedule
Monday – Saturday (Tuesdays off)
Monday – Friday: Approximately 9:30 AM – 5:30 PM
Saturdays (May–October): 7:30 AM – 3:30 PM
Hours may fluctuate seasonally based on business needs
WHAT YOU WILL DO
Answer and manage incoming customer phone calls
Maintain and update service call logs through accurate data entry
Manage ongoing client communication regarding service updates and scheduling
Print, review, and organize daily operational reports
Communicate closely with management regarding service-related matters
Utilize the SKIMMER application for service management (training provided)
Assist with inventory tracking and organization
Maintain filing systems and administrative records
Track callbacks, follow-ups, and service issues for KPI reporting
Help create reports, improve processes, and systematize SOPs
Provide additional administrative support as needed; responsibilities may vary daily
WHAT WE'RE LOOKING FOR
Excellent phone etiquette and customer service skills
Strong written and verbal communication abilities
Proficiency with Microsoft Outlook/email communication
Experience with Google Sheets and Microsoft Excel
Strong organizational and multitasking skills
Ability to work effectively under pressure in a fast-paced environment
Excellent follow-through and attention to detail
Reliable, proactive, and team-oriented mindset
