Primary Purpose
Provide advanced clerical services to the department administrators assigned and manage the routine work activities of the central administrative office. Handle confidential information and engage in frequent contact with all levels of district employees, outside agencies, and the general public.
Qualifications
Education/Certification:
High School diploma / GED
Special Knowledge/Skills
Knowledge of school district organization, operations, and administrative policies
Proficient skills in keyboarding, data entry, word processing, and file maintenance
Basic math skills
Ability to read and comprehend instructions, correspondence, and memos
Ability to make independent decisions regarding planning, organizing, and scheduling Excellent public relations, organization, communication, and interpersonal skills
Ability to use software to develop spreadsheets and do word processing
Ability to prioritize workflow and multi-task numerous complex administrative activities
Experience
Three years advanced clerical experience with extensive contact with people
Prior experience in a public school district administrative office preferred
Major Responsibilities and Duties:
Clerical Support
? Prepare correspondence, forms, manuals, reports, presentations, and other documents for the administrators assigned.
? Schedule appointments and maintain administrator calendar.
? Set up meetings including reserving the venue, preparing materials, and arranging for refreshments and catering as needed.
? Make travel arrangements including making hotel reservations and turning in conference registration forms.
? Answer incoming calls and greet visitors.
? Respond to routine inquiries from the public and staff and refer appropriate inquiries or problems to administrators or other appropriate staff.
? Assist with district events.
Accounting
? Perform routine bookkeeping tasks and maintain department budget records. Prepare and process department purchase orders and payment authorizations.
? Order and maintain inventory of office supplies and program equipment.
Policy, Reports, and Correspondence
? Compile pertinent data used to prepare various required state and local reports.
? Prepare purchase orders and payment authorizations as directed.
? Compile, maintain, and file all reports, records, and other documents as required.
Other
? Comply with policies established by federal and state law, State Board of Education rule, and the local board policy
? Demonstrate behavior that is professional, ethical, and responsible.
? Comply with district policies, as well as state and federal laws and regulations.
? Adhere to the district's safety policies and procedures. ? Maintain confidentiality in the conduct of district business.
? Demonstrate regular and prompt attendance.
