About the Position

The Mississippi Emergency Management Agency is recruiting for a State Service and Permanent position as an Administrative Assistant IV within the Office of Public Assistance. This is an entry-level, technical, public contact, and administrative position within the Public Assistance Program. An employee in this classification assists superiors with designated phases of the Public Assistance Program. At this level, employees are responsible for performing a full range of tasks involving assistance to state and local jurisdictions. The emphasis of the work is on relieving superiors of administrative detail and public contacts in selected Public Assistance Program areas. This includes programs related to administering and tracking federal /state funds allocated for Recovery Operations. The work consists of participation in program surveys and preparation of technical reports. The work is performed under the general supervision of a Public Assistance superior and reviewed for conformance with established policies and procedures. Key Responsibilities include, but are not limited to: • Assist higher-ranking Public Assistance personnel assigned to a designated area of the Statewide Emergency Management Program; • Assist as needed with coverage for the front desk/reception area of the facility; • Perform a variety of clerical tasks including printing, mail-related tasks, typing and editing documents/letters, electronic filing, and answering the phone; • Gain and maintain an understanding of the office processes and procedures applicable to the performance of the required work; • Organize his or her work on a daily/weekly basis by exercising independence and good judgment. • Gather and analyze information and prepare documentation for management decisions and approval on Public Assistance matters. • Participate in workshops, conferences, and training sessions related to the Public Assistance Program. • Assist governmental organizations in preparing and processing Public Assistance grant applications and quarterly reports. • Prepare Federal and State reimbursement payments for eligible work. • Conduct Final Inspections according to regulations and policies to ensure compliance of the Public Assistance Program. • Prepare applicant closeout requests for applicants that have completed eligible work. Please note this position is with the Mississippi Emergency Management Agency (MEMA) and ALL MEMA's positions can be called back to work outside the standard work schedule. A drug screen and background check may be required for hires and promotions. Additionally, a credit check may be conducted for individuals responsible for financial, human resources, and information technology matters. Paid Personal Leave and Sick Leave

Full-time employees receive paid time off for personal needs and for sick leave. Leave begins accruing after one month of employment and may be used as it is accrued. Employees earn approximately 18 days of personal leave annually and 12 days of sick leave annually.

Military Leave

In accordance with federal law, all employees serving in the armed forces or the military reserves are entitled to 15 days per year for military training.
