Position Announcement

Utah Valley University is seeking a customer-focused and organized professional to join our team in a vital administrative support role. As one of the first points of contact for visitors, students, faculty, and staff, you will help create a welcoming, positive experience while supporting the departments daily operations. In this role, you will develop and strengthen a broad range of administrative skills, including office coordination, scheduling, financial documentation, data entry, and customer service. You will play an important part in maintaining efficient office operations by managing calendars, processing records, supporting communications, and assisting with purchasing and budget-related documentation. Summary of Responsibilities

  • Sorts, screens, and distributes incoming and outgoing mail.

  • Drafts and prepares responses to routine inquiries.

  • Prepares photocopies and facsimiles, and operates a variety of office equipment.

  • Performs a wide variety of typing assignments, which are sometimes confidential in nature.

  • Enters data, drafts, edits, revises, and prints letters, tables, reports, and other materials.

  • Greets and directs visitors. Provides routine administrative support for departmental/secretarial support, including answering inquiries concerning activities and operations of the department/division.

  • Accepts, screens, and routes telephone calls.

  • Maintains a log of inquiries as required.

  • Establishes, maintains, processes, and updates files, records, certificates, calculations, and other documents.

  • Performs other job-related duties as assigned, including reimbursements, purchase requests, reconciliations, and fleet reservations.

Qualifications / Licenses / Certifications

Graduation from an accredited institution with an associates degree and one year of experience; OR any combination of education and experience related to the Summary of Duties totaling three years.

Knowledge / Skills / Abilities

Knowledge

  • Knowledge of supplies, equipment, and/or services ordering and inventory control.

  • Knowledge of word processing and or data entry skills.

  • Knowledge of records maintenance and receptionist functions.

  • Knowledge of spreadsheets and reconciliations, including the Microsoft suite and QuickBooks

Skills

  • Skills in the use of and operating basic office equipment, computers, operating systems, and computer software applications.

  • Skills in organization, database maintenance, and coordination.

  • Skills in office methods, typing, techniques, practices, and procedures.

Utah Valley University

Utah Valley University was established in 1941 as Central Utah Vocational School (CUVS) with the primary function of providing war production training. CUVS was part of the Provo School District located in south Provo. The institution received a state appropriation in March 1945 of $50,000 to operate for the 1945-1947 biennium. In 1947, the school received funding as a permanent state institution. A new site for the school was acquired on University Avenue in Provo in 1948; in the 1952, the state appropriated funding for the first construction on that site. As enrollments grew, the state acquired over 185 acres in southwest Orem and the first building was completed in 1977. Today, the University’s facilities consist of a combined total of 412 acres with 50 buildings with campuses in Orem, Provo, and Heber City and property in Vineyard and at Thanksgiving Point in Lehi.
