About the Position
This is a time limited non-state service position. This position provides comprehensive administrative support to the Special Projects Director under the Office of Perinatal and Infant Health by managing front-line communications, including answering multi-line switchboards and processing incoming mail and secure faxes. The role is responsible for reviewing, verifying, and entering complex forms and records into multiple data systems to ensure accuracy and completeness, as well as coordinating internal and external support services such as IT, security clearances, maintenance, and payroll. The position performs routine office and program administrative functions, including inventory management, supply ordering, leave tracking, calendar maintenance, meeting coordination, file and records management, and preparation of correspondence and program communications. Responsibilities also include preparing, routing, monitoring, and processing documentation related to contracts, fee-for-service agreements, subgrants, payroll, travel, legally binding agreements, and associated claims and payments. The position supports outreach and referral activities, audits referral outcomes, assists with onboarding new hires, communicates and interprets applicable policies and regulations to support efficient program operations, coordinates office staff, represents the program at meetings or events as needed, and provides administrative support to leadership and other duties as assigned.

Ability to manage routine office operations, calendars, scheduling, meeting coordination, and document routing efficiently. Strong accuracy in reviewing forms, records, and documentation to ensure completeness and compliance. Ability to prioritize multiple tasks, manage deadlines, and support multiple staff simultaneously. Professional verbal and written communication skills for interacting with staff, leadership, stakeholders, and the public.
