Position Summary:

Oversees and coordinates various aspects of business operations to ensure efficiency, growth, and profitability. This position requires strong leadership, strategic thinking, and effective communication skills. The Administration Manager collaborates with department heads, teams, and other stakeholders to drive organizational success.

Key Tasks and Responsibilities

Communicate regularly with client, vendors, subcontractors, and others outside the organization associated with project and non-project related work.

Manages office staff and admin assistants

Responsible for Payroll (processing timesheets and paychecks)

Manage/monitor project site employee records and files

Monitor onboarding responsibilities. Manage personnel employment changes, including transfers, new hires, terminations, salary and benefit administration

Understand union wage, fringe and benefit administration and communicate with and build relationships with local unions

In charge of Accounts Payable/Receivable (tracking of invoices and payments)

Manage Material Purchasing (Purchase Orders and Invoicing)

Monitor IT issues and local network Coordinates with Corporate IT Department

Run all processes in OnBase and post to the Accounting software eCMS

Prepare periodic reports and presentations

Review job cost for accuracy and timeliness

Assist in the preparation of client billings

Assist with Subcontractor/material suppliers change orders and client change orders

Ensures that licenses and certifications for the project are current

Responsible for truck licenses, titles and inspections

Facilities Management (offices and change house for tunnel laborers)

Handles logistics like travel, accommodations, and office supplies

Complete Performance Reviews for direct reports, provide feedback and discuss

Attend and participate in cost report reviews

Work on special projects

Qualifications:

Bachelor''s degree in business administration, management, or a related field (preferred).

Proven experience in an administrative management or leadership role.

Strong analytical, problem-solving, and decision-making skills.

Excellent communication and interpersonal abilities.

Familiarity with payroll and accounting (payable / receivable)

Leadership experience in leading and managing cross-functional teams.
