Step placement upon appointment is not expected to exceed Step 2 ($64,560 per year). Future increases, including step advancement, are subject to contract negotiations. Position Information The California State University, Office of the Chancellor, is seeking an Administrative Analyst, Energy, Sustainability and Transportation to independently administrator and analyze operational, financial, and programmatic activities for the Energy Sustainability and Transportation unit. The position performs administrative and analytical work related to program coordination, compliance, budget analysis, reporting, and systems development in support of unit and CSU systemwide objectives. Responsibilities Under the general direction of the Chief of Energy, Sustainability and Transportation, the Administrative Analyst, Energy, Sustainability and Transportation will perform duties as outlined below: -Prioritizes and performs routine clerical tasks including file management, travel arrangements and reimbursements, scheduling of meetings, and attendance independently. -Performs financial and budget analysis for the EST unit, including monitoring operating budgets, trust funds, purchase orders, and expenditures; prepare recurring and ad hoc reports to support planning and decision-making. Administrative duties include responding to daily inquiries via phone from campus professional and support staff, internal constituents, preparing memos, letters, drafts and correspondence as required. -Assists campuses with STARS reporting questions and credit evaluation as needed. -Assists campuses with MERs energy reporting, analyzes and verifies campus input for accuracy. -Prepares final review Mechanical Review Board and affinity group meeting items, reports to the Legislature, and/or outside agencies. -Drafts Public Works contract documentation, including support for techn cal scope development; prepare contract materials for managerial review and approval in accordance with CSU policies and regulatory requirements. -Analyzes insurance documentation and vendor compliance requirements, serving as a liaison with internal departments and external entities to ensure adherence to CSU policies, contractual obligations, and regulatory standards. -Performs varied or specialized administrative and analytical duties and/or service as a program administrator including utility usage and cost information, renewables and energy data, STARS reporting, facilities maintenance data, etc. Performs programmatic and analytical contributions to systemwide Shared Services sustainability programs, including contracted services provided to campuses, as assigned by and in collaboration with the Shared Services Manager, through evaluation of program requirements, review of campus deliverables, assessment of data quality and compliance with reporting standards, and provision of analytical guidance to advance program objectives. Prepares authorizations to proceed, quarterly reports, correspondence and other documents as related to Energy, Sustainability and Transportation Chancellors Office program. -Maintains accountability for administrative systems and tools, including calendars for high-visibility meetings, reporting platforms, and workflow systems; evaluate system functionality and recommend enhancements to support operational effectiveness. -Develops and manages strategic planning resources for goal, task and project tracking using Smartsheet or equivalent software. -Produces reports from various databases (STARS database, Sustainability Database, Energy Information System, Energy Efficiency Partnership, and Capital Projects). -Assists in the collating and distributing of presentation and training materials, and logistical coordination for any and all training held at the Chancellors Office or online. -Provides logistical support and planning assistance for unit meetings and conferences. -Oversees and maintains the department calendar for high visibility meetings and associations with distinctive attention to multi-level details. -Coordinates with Chancellors Office Communications Department to maintain and update ESand T web information. -Documents processes and procedures and maintain the administrative analyst desk manual to reflect current model practices. -Provides assistance and back-up support to other units as needed. -Provides functional oversight of student assistants where applicable.
