    Duties and Responsibilities:

    • *Serves as the Administrative and Fiscal Support Staff for the UH Cancer Center Cancer Epidemiology Program.

    • *Coordinates with Grants office in preparing extramural grant proposals, including federal electronic grants for submission to the Grants Office for processing as needed.

    • *Monitors receipt of time sensitive reports such as Pcard transaction logs. Reviews, analyzes and reconciles information reported.

    • *Liaises with vendors on quotes, terms and conditions, product substitutes, prices, discounts, availability, shipment, etc.

    • *Supports the Cancer Epidemiology faculty in ensuring RCUH staff Timesheets are submitted in a timely manner; Helps UH Cancer Center HR in gathering information for UH and RCUH recruitment and visa processing.

    • *Prepares and/or monitors expenditure reports to ensure accuracy and completeness of documents including but not limited to UH & RCUH requisitions, purchase orders, AFPs, cash reimbursements, travel requests and completions.

    • *Receives, reviews, tracks and conducts inventory of filed documents pertaining to grant projects/proposals, payments, procurements, etc., and develops an efficient record and filing system for easy access and retrieval.

    • *Coordinates regular Cancer Epidemiology Program meetings/ conferences/seminars by planning, scheduling, preparing agenda among others and effectively communicating with team members.

    • *Keeps track of office supplies and prepares orders to replenish them as needed.

    • *May review and coordinate the work of volunteers and student workers.

    • *Assists the Cancer Epidemiology Program Director in preparing program annual budget projections and personnel and non-payroll expenditures, and in monitoring faculty FTE funding and budgets in coordination with the Fiscal Office.

    • *Assists with administrative support to PIs as it relates to the overall grants management, budget and budget forecasting, overseeing internal and external funding & daily administration of program funds & personnel requirements.

    • Other duties as assigned.

    Minimum Qualifications:

    • Possession of a baccalaureate degree in Business Administration, Management Health Sciences or related field and one (1) year of progressively responsible professional experience with responsibilities for Office administration, business management; or any equivalent combination of education and/or professional work experience which provides the required education, knowledge, skills and abilities as indicated.

    • Functional knowledge of principles, practices and techniques in the area of Office administration, business management, and/or health sciences as demonstrated by the broad knowledge of the full range of pertinent standard and evolving concepts, principles and methodologies.

    • Functional knowledge and understanding of applicable federal and state laws, rules, regulations and theories and systems associated with Office administration and business management and/or health sciences.

    • Demonstrated ability to recognize problems, identify possible causes and resolve the full range problems that may commonly occur in the area of office and/or business management.

    • Demonstrated ability to understand oral and written documentation, write reports and procedures, and communicate effectively in a variety of situations.

    • Demonstrated ability to establish and maintain effective working relationships with internal and external organizations, groups, team leaders and members, and individuals.

    • Demonstrated ability to operate a personal computer and apply word processing and spreadsheet software.

    Supplemental Qualifications:

    • Excellent time-management and organizational skills.

    Desirable Qualifications:

    • Functional knowledge of lab standards, rules, regulations, equipment and safety procedures.

    • Functional knowledge of UH and RCUH fiscal and personnel administrative policies and procedures and its applicable federal and state laws.

    • Experience in coordinating events.
