The Role:

The Assistant to the Dean serves as the primary administrative partner and strategic coordinator for the Office of the Dean. This role requires an exceptionally organized, proactive, and highly independent professional who can manage daily operations with minimal supervision. The ideal candidate is a self-starter who excels at anticipating needs, solving complex problems on the fly, and maintaining absolute discretion. As a key representative of the Deans Office, this individual must possess a professional demeanor, outstanding diplomatic skills, punctuality, and a collaborative, respectful demeanor.

Job Duties

Assistant to the Dean and Deans Office:

  • Provide administrative assistance to the dean and the deans office.
  • Schedule appointments and establish calendar priorities for the dean and associate dean with appropriate information for each appointment. Schedule and arrange meetings (in person and through Zoom), make room reservations, assure that the dean is briefed on matters for scheduled meetings.
  • Develop, prepare and/or assemble materials for meetings. Record and prepare minutes of meetings, agendas, and information packets.
  • Develop and implement administrative and office procedures.
  • Evaluate administrative and procedural problems and recommend solutions to the dean and/or make changes. Establish mail, filing, inventory maintenance and control systems.
  • Assist with college election via Qualtrics.
  • Respond to day-to-day issues involving the College; keep dean informed.
  • Purchasing responsibility for unit.
  • Oversee the scheduling and coordination of office space and facilities, including maintenance and repairs when necessary.
  • Handle travel arrangements, accommodations, and logistics for the dean, associate dean, and other key stakeholders.
  • Submit timely purchase/travel/other invoice inventories to Manager of Strategic Initiatives and Operations.
  • Maintain distribution groups and security groups (drive access) using Exchange Admin Center. Add new faculty hired to the instructor table in PeopleSoft.

College of Business Support:

  • Maintain and create college of business webpages.
  • Support MBA program activities and behind the scenes work.
  • Assist in establishing new employees in our college.
  • Work with departments and staff to develop new media content and promotional materials.
  • Review, edit, and print electronic materials for accessibility, readability, and relatability.
  • Prepare narrative and/or statistical reports regarding program operations.
  • Compose correspondence, printed materials, and/or news releases related to program policies, procedures, and operations; edit materials for accuracy, appearance, readability, and style.
  • Use word processing, graphics, statistical, spreadsheet and/or database software.
  • Actively engage in recruitment and hiring new employees.
  • Under direction of supervisor, order, receive, and maintain office inventory.
  • Establish and maintain records and files, record statistical information.
  • With supervisor, develop and administer assessment tools that support department goals.
  • Conduct research as needed.

Other Department Support:

  • Maintain college webpages and recruiting pages.
  • Organize college mailing initiatives including honor roll.
  • Assist with student outreach initiatives to aid in supporting student enrollment and persistence.
  • Assist with travel arrangements and logistics.

Project Coordination:

  • Assist in planning and executing special events, conferences, and meetings hosted by Deans office, coordinating logistics, invitations, materials, and follow-up.
  • Collaborate with various departments to support cross-functional projects, initiatives, and administrative processes.
  • Perform other duties as assigned.

Minimum Qualifications

  • Administrative experience includes office management, directing projects, and supervising and mentoring college students.
  • Knowledge of administrative procedures and business operations.
  • Experience demonstrating strong computer skills to include Microsoft Outlook, OneNote, Word, Excel, Adobe, databases; experience developing and running reports; experience with Teams or Zoom or other remote meeting software.
  • Experience demonstrating success with handling a high volume of customer contact and providing customer service that includes communicating with a wide variety of stakeholders such as other agencies, professionals in the community, internal staff/managers/administrators, Required Qualification (choose appropriate option) students, applicants both verbally and via telephone, email, and written correspondence.
  • Experience organizing, setting up and coordinating events or projects.
  • Demonstrated ability and/or experience working collaboratively with students and/or colleagues to foster a supportive and effective learning and work environment.
  • OR applicable combination of education and/or experience which demonstrates the ability to perform the essential functions of the position.

  • Bachelors degree (any field) OR any combination of education and experience which clearly demonstrates the ability to perform the essential function of the position.

Pay, Benefits, & Work Schedule

Salary: This position is based on the range 41 of the Washington State Classification Listing, which has a minimum annual salary of $44,856 and maximum annual salary of $59,760. In accordance with RCW 49.58.110, the above salary reflects the full salary range for this position. Individual placement within the range is based on the candidates current experience, education, skills, and abilities related to the position.

Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch)

Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer workstation for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
