What You Will Do

The Associate Laboratory Directorate for Infrastructure and Capital Projects (ALDICP) has an immediate opening for an experienced and highly motivated customer service focused individual to provide administrative support to the Construction Projects Execution (CPE) Division. Reporting to the Staff Operations Manager, the Administrative Assistant is a key member of the administrative support team, providing reliable day-to-day office and operational support. This position requires strong organizational skills, attention to detail, and the ability to manage multiple tasks and deadlines in a fast-paced environment. The Administrative Assistant supports routine business and administrative functions by coordinating office activities and ensuring efficient workflow. Responsibilities include maintaining and tracking organizational data, coordinating meetings and schedules, preparing and formatting correspondence and documentation, and supporting project teams with administrative aspects of deliverables.

This position will be filled at either the AA Level 3 or AA Level 4, depending on the skills and experience of the selected candidate. Additional job responsibilities will be assigned if hired at the higher level

Minimum Job Requirements:

Administrative Assistant 3

Administration: Knowledge and experience conducting general office management duties in a busy, fast-paced office environment while maintaining confidentiality and discretion on certain matters.

Communication: Excellent oral, written, and interpersonal skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail.

Organization: Ability to effectively organize, prioritize, and follow-through to complete multiple tasks, often under strict deadlines, frequent interruptions, and changing priorities.

Customer Service: Demonstrated ability to respond to customer requests and provide timely responses while delivering professional service.

Software and Systems: Experience withMicrosoft Office Suite (Word, Excel, PowerPoint), Outlook, Oracle, Concur, Teams or Comparable systems and software

Calendar Management: Ability to provide full calendar management, planning and coordinating logistics for organizational meetings.

Administrative Assistant 4

Administration: Advanced knowledge and experience conducting general office management duties in a busy, fast-paced office environment while maintaining confidentiality and discretion on certain matters.

Communication: Excellent oral, written, and interpersonal skills, including proofreading, grammar, spelling, punctuation, accuracy, and attention to detail.

Organization: Ability to effectively organize, prioritize, and follow-through to complete multiple tasks, often under strict deadlines, frequent interruptions, and changing priorities.

Customer Service: Demonstrated ability to respond to customer requests and provide timely responses while delivering professional service.

Software and Systems: Advanced knowledge and experience withMicrosoft Office Suite (Word, Excel, PowerPoint), Outlook, Oracle, Concur, Teams or comparable systems and software including the demonstrated ability to independently interpret data and information to compose correspondence, produce Excel spreadsheets and PowerPoint presentations.

Calendar Management: Demonstrated successful experience with full, complex calendar management, planning, and coordinating logistics for cross-organizational meetings.

Desired Qualifications:

  • Familiarity with capital projects or construction
  • Familiarity with Laboratory organizational structure and administrative policies and procedures.
  • Knowledge of the Laboratory mission and how ALDICP supports that mission
  • Designated Procurement Representative (DPR) experience.
  • Active Q clearance


Education:

Administrative Assistant 3: High School Diploma and 3 years related experience; or an equivalent combination of education and experience directly related to position.

Administrative Assistance 4: High School Diploma and 5 years related experience; or an equivalent combination of education and experience directly related to the position.

Work Environment:

Work Location: The work location for this position is onsite and located in Los Alamos, NM. All work locations are at the discretion of management.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 year.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. Please note that this requirement applies only to citizens of the United States. Foreign nationals are subject to a similar requirement under DOE Order 142.3A.

No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.

Regular position: Term status Laboratory employees applying for regular-status positions are converted to regular status.

Incentive Compensation Program: Position is eligible to participate in the Triad Incentive Compensation Program. You must be in an eligible position for a minimum of 3 months, before July 1st and remain in an eligible position as of the end of the fiscal year, September 30th. The annual distribution is prorated based on the number of months in the eligible position.
