What You Will Do

The Mission Application Services (ADS-MAS) Group within the Application and Data Services Division (AD-DO) is seeking a staff and customer-focused Administrative Assistant to provide high-level administrative support for the highly varied and dynamic activities for the Mission Application Services Group. This position requires initiative, professionalism, discretion, and flexibility. The selected candidate will need to be an excellent problem solver, anticipate challenges or obstacles and tactfully resolve them with minimal supervision. This position works collaboratively with students, staff, group members and with the rest of the Application and Data Services team. This position will report to the ADS-MAS Group Leader and the ADS Staff Operations Manager.

Minimum Job Requirements:



Communication and Collaboration

Demonstrated excellent verbal and written communication skills, including proofreading, editing, grammar, spelling, punctuation, accuracy, and attention to detail. Outstanding customer service skills. Experience and demonstrated ability to build effective working relationships and interact with all levels of internal and external personnel in a professional and courteous manner.

Critical Thinking and Problem Solving

Demonstrated experience identifying, analyzing and solving problems, making connections and proposing, implementing and following through on solutions. Proven track record of taking initiative, working with autonomy and anticipating the administrative needs of an organization.

Organization and Time Management

Demonstrated ability to organize, prioritize and follow-through to completion on multiple tasks, often under strict deadlines, with frequent interruptions, and changing priorities in a dynamic and fluid working environment. Ability to coordinate logistics, scheduling and announcement of meetings and conferences. Experience working with sensitive, personnel related information. Demonstrated record of dependability, availability, attendance, and punctuality.

Technical Competency

Experience, and demonstrated competency with administrative services and activities, including general office management. Knowledge of and experience in the use of standard office software, such as Microsoft Office Suite Applications including Visio, Word, Excel, and PowerPoint. Advanced knowledge and experience with common teleworking and virtual collaboration software like MS Teams, Google Drive, etc. High proficiency in the preparation and formatting of correspondence, reports, and presentations.

Education/Experience: Position requires a High School Diploma and 5 years related experience; or an equivalent combination of education and experience directly related to the occupation. At this level, additional training, certification, and/or education may be desirable.



Desired Qualifications:

LANL-specific knowledge

Knowledge of Laboratory policies regarding travel, procurement and time and labor. Experience working with Laboratory wide business systems such as Concur, Outlook, iProcurement, Oracle Time and Labor. Knowledge of the Laboratory's organizational structure and administrative policies, practices, and procedures or other governmental regulations and environmental practices related to administrative processes. Prior experience with performing routine purchases for an organization.

Work Location: The work location for this position is hybrid and is located in Los Alamos, NM. Hybrid is defined as working partially onsite/partially offsite but within 2 hours ground commute of this location. All work locations are at the discretion of management and can change at any time with appropriate notice.

Position commitment: Regular appointment employees are required to serve a period of continuous service in their current position in order to be eligible to apply for posted jobs throughout the Laboratory. If an employee has not served the time required, they may only apply for Laboratory jobs with the documented approval of their Division Leader. The position commitment for this position is 1 Year.

  • This position will be required to report onsite on a rotating basis (approximately 4 times per month) to provide in-person staffing support to ALDBUS's Teleworking drop-in spaces.

Additional Details

Directive 206.2 - Employment with Triad requires a favorable decision by NNSA indicating employee is suitable under NNSA Supplemental Directive 206.2. No Clearance: Position does not require a security clearance. Selected candidates will be subject to drug testing and other pre-employment background checks.

New-Employment Drug Test: The Laboratory requires successful applicants to complete a new-employment drug test and maintains a substance abuse policy that includes random drug testing. Although New Mexico and other states have legalized the use of marijuana, use and possession of marijuana remain illegal under federal law. A positive drug test for marijuana will result in termination of employment, even if the use was pre-offer.
