This position works 8 hours per day and 40 hours per week, 260 days per year
The scheduled work hours for this position are 7:30 a.m. - 4:00 p.m.

POSITION SUMMARY: Under direct supervision of the Director Finance and in coordination with the Curriculum Department, this position will provide direct oversight of student record keeping as well as Destiny Resource Management.
ESSENTIAL FUNCTIONS:
- Prepare all district graduate and transfer/drop student records per Missouri Public Schools Records Manual for permanent record retention on a digital platform
- Maintain rosters for all records on digital platform and microfilm
- Maintain student records including retaining and disposing of files in accordance with policy
- Ensure former student fines are settled and collected as necessary before releasing requested documents
- Prepare records for attorneys/courts as requested
- Provide transcripts and other school records as requested for former students
- Complete education verifications from potential employers/third-party background companies for former students
- Coordinate the intake and distribution of district resources using the Destiny Resource Management system, ensuring all textbooks and high-value assets are correctly barcoded and categorized
- Holds annual training session with building Destiny administrative assistants to review processes and protocols
- Facilitate seamless resource transfers between the Annex and school sites by generating Destiny transfer records
- Audit Destiny records prior to purchase to prevent duplication and collaborate with Curriculum Coordinators to ensure new adoptions-including ISBNs, vendor data, and serial numbers-are accurately entered into the system
- Oversee the barcoding process for standard purchases and new adoptions, ensuring items over $100 or those intended for student checkout are tracked according to district procedures
- Direct school-based administrative assistants in the proper reception of transfers within Destiny, ensuring all incoming assets are accurately assigned to correct departments and physically labeled according to district durability standards
- Audit site-based data entry to ensure designated Destiny administrative assistants are capturing critical identifiers-such as ISBNs, serial numbers for instruments/appliances, and purchase prices-to maintain a clean and searchable districtwide database

- Advanced organization skills with ability to maintain detailed filing system
- Considerable knowledge of principles of file organization and management
- Excellent verbal, written communication, and organizational skills
- Respect confidentiality of all records
BASIC REQUIREMENTS:- High school diploma
