Job Summary:
The Administrative Assistant performs clerical and secretarial work, processes and maintains relatively complex office records, reports, and materials of greater difficulty and with more independence, but within guidelines established by precedents and departmental policies. This position has routine, personal contact with faculty, staff, students, and the general public, providing standard information and occasionally explaining methods, procedures, services, and activities of the Department.
Duties and Responsibilities:
- Assists the ACPI in managing multiple departmental budgets.
- Responds to routine inquiries and participates in processing and maintaining records and reports as required.
- Assists in maintain teacher candidate documentation including but not limited background clearance, test performance, fingerprints, and candidacy.
- Assist with using programs to support eligibility and degree evaluations assessment.
- Assists with coordinating events hosted/facilitated by the ACPI or University events requiring representation.
- Aids in the development of new office policies and revision to existing policies and procedures.
- Supporting Data Manager with Praxis, edTPA, Foundations of Reading
- Assist Certification Officers with various duties.
- Assist with required accreditation and certification reports.
- Assist with TEACH Grants as needed.
- Support Administrative Assistant to the Associate Dean in web updates.
- Respond to inquiries addressing various administrative requests.
- Assists in identifying and hiring appropriate student workers and oversees their daily tasks. Performs other duties as assigned.
- Assist with internship check- outs.
- Processes travel reimbursement for internship and practicum supervisors.
- Assist with maintaining databases practicum and internship records, and cooperating teacher information.
- Maintain JSU Scholarship Credit hours records and CEU Acquisition for internship and cooperating teachers.
- Assists the AATS Coordinator for cooperating teacher evaluations and university supervisor evaluations.
- Assists with maintaining electronic field experience placement lists of all practica and internships each semester.
- Assist with maintaining school system, cooperating teacher information, and student field experience placement information into the Watermark system.
- Support the Office of Accreditation, Certification, and Partnership Initiatives and Associate Dean's Office as needed.
- Performs other duties as assigned.
Required Qualifications:
- High School diploma or equivalent
- At least two (2) years full time equivalent experience in clerical or administrative support
