Description

Cobble Hill is seeking a friendly, organized, and detail-oriented Administrative Assistant to support both our Admissions and Medical Records departments in a full-time, dual-role position. This is an excellent opportunity for someone with strong administrative and customer service skills who enjoys variety and thrives in a fast-paced healthcare environment.

Position Details

  • Position: Full-Time Administrative Assistant (Admissions & Medical Records)
  • Schedule: Full-Time
    • 3 days per week: Medical Records
    • 2 days per week: Admissions
  • Location: Brooklyn, NY
  • Salary: $50,000 to $60,000 annually, based on experience

Responsibilities

Medical Records (3 Days per Week)

  • Maintain accurate and confidential resident medical records.
  • Process requests for medical records in accordance with HIPAA regulations.
  • File, scan, and organize resident documentation.
  • Assist with chart audits and ensure records are complete and compliant.
  • Communicate with clinical staff regarding documentation needs.

Admissions (2 Days per Week)

  • Assist the Admissions team with daily administrative and clerical tasks.
  • Answer phone calls and greet visitors in a professional and welcoming manner.
  • Help coordinate admissions paperwork and resident documentation.
  • Communicate with hospitals, referral sources, residents, and families.
  • Provide exceptional customer service throughout the admissions process.
  • Assist with scheduling, data entry, filing, and other office duties as needed.

Qualifications

  • Previous administrative experience required; nursing home or healthcare experience required.
  • Experience with medical records or admissions in a healthcare setting is a plus.
  • Strong customer service and communication skills.
  • Knowledge of medical terminology and HIPAA regulations is preferred.
  • Excellent organizational and multitasking abilities.
  • Proficient in Microsoft Office and basic computer systems.
  • Ability to work independently while collaborating effectively with multiple departments.
