General Description of the Position
THIS POSITION IS 100% GRANT FUNDED

Provide administrative support to a supervisor of a major University department, unit, or office. Manage the daily support operations of the department, unit, or office to ensure smooth and efficient running.

Essential Functions & Required Knowledge, Skills and Abilities

  1. Analyzes routine operating practices and procedures and makes recommendations to ensure smooth and efficient office/unit operations;
  2. Collect data, perform statistical and research work assigned, and prepare rough draft and final drafts of report;
  3. Assist supervisor in arranging appointments, meetings, and conferences as necessary;
  4. Assist with the management of the office/unit budget as necessary;
  5. Meet with and answer inquiries of employees and visitors as requested;
  6. Direct and conducts special projects for superior that may involve issues of a sensitive or confidential nature;
  7. Reviews correspondence and reports, determines level of authority that can handle issues, and directs to appropriate staff for completion;
  8. Establishes tracking and monitoring systems and conducts follow up to ensure effective resolution of matters;
  9. Maintains and controls data and/or filing systems to ensure effective, accurate, and easily retrievable documentation of operations and project activities;
  10. Performs other related duties as assigned.
Required Knowledge, Skills, and Abilities:
  1. Knowledge of operations, services, etc. of office/unit;
  2. Knowledge of administrative support practices and procedures;
  3. Knowledge of grammar, punctuation, spelling, and compositions;
  4. Knowledge of methods and techniques in composing written communications such as responses to inquiries and narrative reports;
  5. Intermediate to advanced knowledge of computer programs to include word processing, spreadsheets, graphics, databases, found in such products as Microsoft Office® ;
  6. Ability to understand, explain, and apply rules, regulations, policies, and procedures;
  7. Ability to verify accuracy of information, resolve discrepancies, and follow-up on outstanding activities;
  8. Ability to communicate effectively with employees, students, and the public.
Qualification Standards
  1. Education, training, and/or experience equivalent to associate's degree;
  2. At least three years related work experience;
  3. Preferences: Mastery of Microsoft Office® suite and standard office technology and equipment.
