Administrative Assistant - Affordable Housing (Bilingual Spanish Required)

Paths is seeking a bilingual Administrative Assistant to support two affordable housing communities in Roslindale and Jamaica Plain totaling 245 units. This is a full-time, onsite, resident-facing role supporting the day-to-day administrative operations of a busy property management office.
The Administrative Assistant will assist with phones, walk-ins, resident communication, document follow-up, filing/scanning, work order support, and general office organization. This role will also support recertification and compliance paperwork, including helping residents with document collection, signatures, follow-up, and file organization. Both properties operate under Project-Based Section 8, LIHTC (Tax Credit), and Portable Voucher programs. Affordable housing experience is helpful, but we are open to candidates with strong administrative, customer service, documentation, and resident-facing experience who are willing to learn affordable housing compliance processes. Classification: Non-exempt (overtime eligible) Location: Roslindale, MA 02131 / Jamaica Plain, MA 02130 Essential Functions / Responsibilities: Administrative & Office Support - Answer phones and respond to resident inquiries professionally
- Greet and assist residents, applicants, vendors, and visitors
- Support walk-ins and help direct residents to the appropriate team member or next step
- Assist with scanning, filing, faxing, copying, and document organization
- Help obtain resident signatures and required paperwork
- Assist with work order entry, tracking, and follow-up
- Maintain organized records and office systems
- Support general day-to-day operations of a high-volume property management office
- Communicate clearly and professionally with residents in English and Spanish
Recertification & Compliance Support - Assist with resident follow-up for annual and interim recertification paperwork
- Help collect, organize, and track required documents from residents
- Support the team with income/asset documentation, verification requests, and file preparation
- Assist with maintaining tenant files and compliance-related documents
- Help track deadlines and follow up with residents regarding missing or incomplete paperwork
- Support the property team with recertification and compliance tasks as directed
- Learn and follow affordable housing program requirements, including Project-Based Section 8, LIHTC, and Portable Voucher processes
Requirements: - Bilingual English/Spanish required; must be comfortable communicating professionally with residents in Spanish
- Strong administrative, clerical, front desk, or office support experience
- Comfortable working in a resident-facing office environment
- Strong organization, follow-up, and attention to detail
- Ability to manage multiple tasks in a busy office setting
- Professional, patient, and resident-focused communication style
- Comfortable handling confidential documents and sensitive resident information
- Proficiency in Microsoft Office, including Word, Excel, and Outlook
- Affordable housing, property management, leasing, recertification, or compliance support experience is a plus
- Experience with Yardi or similar property management software is a plus
- High School Diploma or GED required; some college preferred
Pay Rate: $21.00 to $23.00 per hour Benefits:
