Credence has an immediate opening for an experienced Administrative Assistant who will be primarily responsible for supporting the Air Force Institute of Technology School of Civil Engineering (AFIT/CE) at WPAFB, OH.
AFIT/CE is the Air Force's sole provider of professional continuing education courses in the area of civil engineering. With more than 80 courses and seminars, the school plans, develops, and conducts resident and distance learning courses and programs to satisfy the professional continuing educational needs of civil engineer customers from the Department of the Air Force, DoW and other federal agencies. More than 12,000 students receive education from AFIT/CE each year.
The school currently offers Air Force courses ranging in length from two days to 10 weeks in the disciplines of technical civil engineer courses, environmental, engineering management, and housing. It is also the leader in distance and blended learning education for the civil engineering workforce, providing the tools, skills, and abilities to manage the entire spectrum of a civil engineering expertise through various media and forums.
Responsibilities include, but are not limited to the duties listed below
- Provide administrative support to Government personnel, including faculty, staff, the Dean and Associate Dean.
- Assist with the administration of Microsoft Teams to include suggesting and maintaining an efficient and effective file structure and other means of maximizing the utility of Microsoft Teams within the AFIT/CE school mission.
- Train personnel on initiatives to make the system more effective.
- Suggest ways to effectively use other government provided automation tools to streamline business support processes as they evolve.
- Assist with AFIT/CE internal and external strategic communications.
- Assist with the new employee in-processing system and arrange for official photo and name plates for all assigned individuals.
- Edit and track correspondence, maintain leadership schedules, and administer workflow management systems to include tracking and reporting status of taskers and suspensers.
- Administratively support Education Working Groups and other school standing committees.
- Coordinate guest and senior leader visits to AFIT/CE.
- Provide admin support with scheduling and tracking the Dean’s and Associate Dean’s travel through the Defense Travel System (DTS).
- Assist with presentation formatting (e.g., aspect ratio, PDF conversion, etc.).
- Ensure the faculty consulting database is updated.
- Update and maintain duty rosters, assignment letters, organizational charts, recall rosters and phone listings.
- Assist with ordering office supplies, gathering requests for supplies, and preparing and itemizing various lists for supplies/equipment to be procured by the Government.
- Update the school personnel leader photo boards.
- Maintain the AFIT/CE conference room schedule.
- Manage the weekly AFIT/CE staff meeting, to include slide updates/formatting, virtual presentation/sharing of the meeting, coordinating schedules, and other admin duties.
Requirements
- Clearance: Tier 1
- Bachelor of Science(BS)/Bachelor of Arts(BA), five years of experience in the respective technical/professional discipline being performed, three of which must be in the DoW; or
- Eight years of directly related experience with proper certifications as described in the Functionally DoD.Aligned Job Descriptions, five of which must be in the DoW
