SUMMARY: This position provides administrative support for the District's nutrition program in the Financial Services Department. Job responsibilities include administering bookkeeping, accounting, time and attendance functions for the department. In addition, the position compiles and completes data for various reports and claim submissions to CDE on a daily, weekly and/or monthly basis. The individual is the lead person for all Free/Reduced Meal Program processes.

MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent, plus specialized courses in administrative assistance, bookkeeping and computer skills
  • Three years experience in office management, bookkeeping, Microsoft Office with emphasis on Excel desired
  • Prior experience with student data base software, free/reduced meal application software desired
  • School district/nutrition services experience desired
  • Oral and written communications skills
  • Personal computer, keyboarding and 10-key skills
  • Customer service and public relations skills
  • Critical thinking and problem solving skills
  • Ability to work as part of a team and alone with minimal supervision
  • Ability to manage multiple tasks with frequent interruptions
  • Ability to manage multiple priorities
  • Ability to promote and follow Board of Education policies and building and department procedures.
  • Ability to recognize the importance of safety in the workplace, follow safety rules, practice safe work habits, utilize appropriate safety equipment and report unsafe conditions to the appropriate administrator
  • Must be able to read, write, and comprehend English
  • Experience and/or skills working with culturally diverse populations desired

JOB RESPONSIBILITIES:

  • Assist with the NSLP free and reduced application process, including processing applications, notification, and direct certification
  • Complete grant applications for all Nutrition Services programs
  • Complete bank reconciliations for nutrition services bank account
  • Manage the nutrition services budget
  • Assists in customer service duties for Financial Services, as needed
  • Prepare daily bank deposits
  • Submit and track work orders, IT Help Desk tickets and equipment repairs.
  • Maintain and troubleshoot Mosaic and POS for the department.
  • Prepare and submit monthly claims to CDE and CACFP. Compile and submit monthly cash and Federal/State reimbursement reports for Finance and NS Director
  • Manage and reconcile online meal payment system, issues meal account refunds. Assist with meal counts.
  • Assign and tracks keys/fobs
  • Enter purchase orders into Infinite Visions as directed, administer disbursement and accounting of petty cash for NS office and kitchens
  • Serves as a liaison between the district and the FSMC (food service management company)
  • Maintains compliance and audit logs/serves as the primary contact for audits
  • Request health inspections
  • Assist other departments with food services related items
  • Maintains active training with CDE regarding program updates
  • Other duties as assigned
