Administrative Assistant
Hours: Monday - Friday, 8am - 5pm onsite
Contract position for 2-3 months.
Job Overview
The Administrative Assistant III is responsible for supporting the organization, its managers and executives with dailyclerical tasks, scheduling appointments, planning meetings, managing phone calls and emails, maintaining theorganization of the office. This role involves providing general support to visitors, developing, and maintaining filingsystems, and creating reports and presentations.
A Day In The Life
Every day at is different and youll contribute in many ways. On any given day, youll make a difference by:
Arranging and managing appointments, meetings, and conferences for senior executives, including travelplanning and accommodation
Handling incoming and outgoing communications such as emails, phone calls, and written communications, witha high degree of professionalism
Maintaining and organizing records, documents, and files, both physical and digital, ensuring easy retrieval
Assisting in the coordination of special projects as needed
Monitoring and replenishing office supply inventories
Keeping the manager informed of account status, authorizing expenditures, and identifying cost effectivealternatives.
Maintaining calendar, preparing daily schedule, and prioritizing meeting requests for manager(s).
Establishing and maintaining effective working relationships at all levels of the organization.
Submitting and reconciling expense reports
Collaborating with other departments to support special projects, events, and initiatives
Addressing and resolving administrative issues, inquiries, and requests from employees and external contacts
What will help you thrive in this role
High School Diploma
Proficient in Microsoft Office Suite -Outlook, Excel, PowerPoint, Word, Teams (required)
Associates Degree preferred
3-6 years of previous Customer Service, Support or Administrative experience (required)
Possess excellent organizational and communication skills, enabling you to manage complex schedules and tasks effectively.
A quick thinker and problem solver who can effectively address challenges and make sound decisions under pressure.
Demonstrated ability to handle sensitive information with the utmost confidentiality and professionalism.
Comfortable working in a fast-paced environment with the ability to manage multiple tasks and priorities simultaneously with a high degree of accuracy.
A strong team player with a willingness to contribute wherever needed to achieve collective goals
