PDC/PDE Department Administrative Assistant

What You Will Be Doing

General administrative support duties for MBD, including, but not limited to:

  • Meeting arrangement and setup (i.e., weekly, monthly department meetings, department events/offsite meetings.
  • Purchase requisition submission and tracking (track from approval to PO dispatch to vendor invoicing; reconcile PO's with actual expenditures).
  • Invoice receipt and payment confirmation.
  • Monthly accrual preparation and submission.
  • New Hire Setup/Preparation (for new TM's & VWF; account/PC/CAD machine setup, Our Client's applications access, update & distribution of org/seating charts, etc.).
  • Travel arrangements for TMs.
  • Visitor Preparation (i.e., CAD/CAE account setup, guest Wi-Fi, visitor badge requests for visitors from Affiliates and Vendors).
  • Travel Arrangement for TMC visitors and need to understand basic Japanese in order to communicate with TMC visitors.
  • Maintain/update Assistant Reference Manual.
  • Maintain office supply room (office supply orders).
  • Mail distribution.
What You'll Need To Be Successful
Essential:
  • 3 to 5 years of strong general office/department support experience.
  • Excellent verbal, written, and interpersonal skills.
  • Excellent customer service skills.
  • Proficient in SAP/Ariba (or equivalent software experience) and MS Office (Outlook, Excel, PowerPoint & Word).
  • Strong ability to work independently and with other members.
  • Basic Japanese Skill is a plus but not mandatory.
