What You Will Be Doing
As an Administrative Assistant for the Power Systems Division, you will be responsible for assisting these departments with different administrative duties. Part of the responsibilities include running reports and compiling data using Excel, as well as scheduling and coordinating meetings and calendars for the management team.
Primary Responsibilities:
- Support senior managers and executives with daily tasks
- Attend meetings and take detailed minutes
- Calendar management, schedule appointments and update calendar
- Make travel arrangements and reservations for senior managers
- Create reports, spreadsheets, and presentations, provide statistical and budget reports
- Greet and provide general support to visitors
- Manage scheduling and meeting requests in a timely manner
- Manage records, files and/or other documents, including sensitive material.
- Draft emails for leaders including careful proofreading/copy editing of materials
- Plan and coordinates meetings and special events, including catering
- Complete travel, reimbursement, and expense reports on a timely basis in Concur
- Exercise sound judgment and discretion with regard to confidential issues and materials
Additional Responsibilities:
- General office duties (order supplies/fax/email/answer phones)
- Participate in required safety program, and work in a safe manner
- Additional duties as assigned by manager
Who We Are Looking For
To be successful in this position you should have strong organizational skills, fluent with Excel and creating pivot tables, formulas, and formatting, as well as be a self-starter. You should possess a sense of urgency and desire to provide superior customer service. The ability to work with a team and independently is essential to this position as well.
Education/Experience:
- 5 years' experience as a senior administrative assistant or executive assistant in an operations environment
Required Qualifications/Skills:
- Hands on experience with programs including:
- Excel: VLOOKUP, Pivot tables, formulas, charts, large data sets
- Outlook: calendaring and email management
- PowerPoint: Executive presentations
- Adobe Acrobat DC
- Excellent verbal and written communication skills
- Strong organizational and time-management skills
- Excellent teamwork skills with ability to establish productive working relationships with other departments and personnel inside and outside the company
- Sharp attention to detail is a must; high personal standards for quality and thoroughness
- Ability to juggle multiple initiatives
