The Administrative Assistant is a temporary position that will provide assistance with the review, organization, and digitization of Employee Health, I-9, and termination records. This position will also provide administrative support to New Employee Orientation, processing employment verifications, and other support across various human resource functions.
1. Retrieve Employee Health EH records from Human Resource (HR) files. Review, organize and classify documents for retention or secure for scanning.2. Retrieve and process personnel files for terminated employees; digitize and upload all required documents into the HCM system to maintain accurate and complete employee records.3. Digitize I-9 records by retrieving documents from HR files and uploading them into the HCM system in accordance with compliance requirements.4. Support New Employee Orientation (NEO), including preparing onboarding materials (e.g., I-9 forms, check-in sheets), arranging logistics such as catering, and welcoming new hires. 5. Assist in the review and accurate completion of all onboarding documentation, collect missing information (including verifying identification), and process I-9 forms in compliance with federal regulations.6. Assist with accurate data entry into the E-Verify system and upload all related documentation into the Human Capital Management (HCM) system.7. Assist in processing employment verification requests (written and verbal) for current and former employees in a timely, accurate, and confidential manner, ensuring adherence to company policy and data privacy standards.
EDUCATION:High School diploma or GED required.
EXPERIENCE:1 year of administrative support experience preferred.
