We are seeking a dynamic and highly organized Administrative Assistant to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth daily functions and providing exceptional support to staff and clients alike. Duties:

  • Manage front desk responsibilities, greeting visitors and directing them appropriately with professionalism and warmth
  • Operate multi-line phone systems, answer inquiries, and provide outstanding customer service via phone and email
  • Perform data entry using computer skills, including Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record-keeping purposes
  • Organize files, maintain filing systems, and ensure documents are accurately proofread and properly stored
  • Schedule appointments, manage calendars, and coordinate meetings with effective time management strategies
  • Support office management tasks such as supply inventory, filing, photocopying, and general clerical duties
  • Assist with customer support efforts by addressing inquiries promptly and maintaining excellent phone etiquette
  • Handle sensitive information with confidentiality while providing administrative support to various departments
  • Support personal assistant functions as needed, including calendar management and task prioritization for executives or team leads

Requirements

  • Proven office experience with strong clerical skills in a fast-paced environment
  • Familiarity with office management software such as Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools
  • Experience using multi-line phone systems and providing exceptional customer service over the phone
  • Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members
  • Previous roles as a receptionist or medical/dental receptionist are advantageous
  • Demonstrated organizational skills with the ability to manage multiple priorities efficiently
  • Strong typing skills along with meticulous proofreading capabilities to ensure accuracy in all documents
  • Knowledge of bookkeeping or QuickBooks is a plus for handling basic financial tasks
  • Excellent time management skills combined with a proactive approach to problem-solving
