Business Segment Overview - Institutional:

Responsibilities:
Position Purpose: The Administrative Assistant provides high‑level administrative support to executive leadership and departmental staff, ensuring the efficient day‑to‑day operation of the business. This role serves as a key point of coordination for scheduling, communication, documentation, and office management, while maintaining professionalism, discretion, and attention to detail in a fast‑paced environment.
Primary Responsibilities:
- Greets and directs guests, visitors, and clients in a professional and welcoming manner.
- Handles incoming mail, phone calls, inquiries, and requests—both internal and external—and takes appropriate action.
- Utilizes and maintains office equipment, including fax machines, copiers, scanners, and related technology.
- Books and coordinates meetings, conferences, and travel arrangements.
- Organizes, analyzes, and maintains information and records as needed.
- Prepares correspondence, written reports, and other documents; proofreads and corrects materials for accuracy and professionalism.
- Maintains efficient office procedures and tracking systems to monitor requested actions, follow‑ups, and reports.
- Schedules appointments, meetings, and other key departmental or executive events; reviews schedules daily and proactively manages upcoming deadlines.
- Assists new recruits joining StoneX Wealth with their transition process, including coordinating home‑office visits and orientation, scheduling training, and monitoring securities registrations and insurance appointments.
- Manages the President’s corporate credit card activity and prepares related expense reports.
- Works directly with mutual fund and insurance carriers to update and maintain information within their systems and databases.
- Maintains the confidentiality and security of sensitive documents and information at all times.
- Maintains prompt and regular attendance in accordance with company policies.
- Performs additional duties and responsibilities as assigned by management; this list is not intended to be all‑inclusive.
Qualifications:
Job Requirements:
- Associate’s or Bachelor’s degree is preferred; or equivalent combination of education and work experience
- Strong written and oral communication skills
- Strong interpersonal skills to communicate with other departments, court/regulatory personnel, clients, etc.
- Excellent organizational and time management skills
- Intermediate to advanced computer skills including Microsoft Office
- Experience in financial services industry a plus
- Must be authorized to work in the US for any employer

- Climate controlled office environment
- Minimal physical requirements other than occasional light lifting of boxed materials.
