Job Description:
The Purpose of Your Role as an Administrative Assistant
The administrative assistant will help keep the day-to-day operations of the office and field teams organized, accurate, and moving forward. As an Administrative Assistant, you’ll provide support across a variety of areas, from purchasing and employee onboarding to reporting, document control, and maintaining important company records.
You’ll work with managers, employees, subcontractors, and other departments to make sure information is handled correctly and administrative needs are taken care of on time. The work you do will help keep teams organized and give them the support they need to focus on their projects.
What You’ll Be Part Of
You’ll be part of a team that supports both office and field operations, with responsibilities that touch several areas of the business.
• Coordinate purchase order requests from field employees and track them through completion
• Support employee onboarding by reviewing new hire paperwork, coordinating with General Contractors, and ensuring required documents are completed and submitted
• Maintain vehicle, rental equipment, and other company records while tracking important dates, expirations, and renewals
• Support subcontractor compliance by maintaining insurance certificates, tracking policy renewals, and helping ensure required documentation is in place before work begins
• Compile weekly reports, maintain files and document control, order office supplies, and support other administrative needs across the team
This position offers variety in your day and gives you the opportunity to work with people across the company while building a strong understanding of how office and field operations work together.
What We’re Looking For in You
• High school diploma or equivalent required; Associate degree preferred
• 2+ years of administrative or office support experience preferred
• Strong Microsoft Office skills and comfortable working with spreadsheets and data
• Clear, professional written and verbal communication skills
• Strong organization and time management skills
• Ability to manage multiple priorities and follow through on time sensitive tasks
• Comfortable working with confidential information and sensitive documents
• Ability to work with and communicate effectively with employees, field personnel, subcontractors, and other stakeholders
• Notary Public certification is preferred
What This Position Is (and Is Not)
This position is:
• A hands on administrative role that supports both office and field teams
• A mix of organization, communication, coordination, and follow through
• A position where you’ll work with people across different areas of the business
• A role where staying ahead of deadlines and keeping information accurate makes a real difference
This position is not:
• A purely clerical role focused on filing, answering phones, or basic office tasks
• Limited to supporting one person or one department
• A position where you’ll work on the same tasks every day
• A role where you simply wait for requests instead of taking ownership and following through
Why This Position Stands Out
This position gives you the opportunity to become a reliable resource for both office and field teams while gaining exposure to many different parts of the business. You’ll have ownership over important administrative processes and will work with a wide range of people to keep information, paperwork, and day to day needs moving.
Because the position touches everything from employee onboarding and purchasing to subcontractor compliance and equipment tracking, you’ll gain a broad understanding of how the company operates. It’s a strong opportunity for someone who enjoys variety, takes pride in staying organized, and likes being the person others can count on.
If This Sounds Like You
If you’re organized, dependable, and enjoy being the person who keeps things running smoothly, this could be a great fit.
You should be comfortable managing several priorities at once, communicating with different groups of people, and taking ownership of the details. Most importantly, we’re looking for someone who follows through, asks questions when something isn’t clear, and takes pride in doing the little things right.
