Location: Buffalo, NY

Contract Length: 1 Year

Schedule: Monday - Friday, 37.5 hours per week

Hourly Pay Range: $19.00 - $27.00 per hour (based on experience)

Position Summary

Our client is seeking a highly organized and detail-oriented Administrative Assistant to provide administrative and database support in a fast-paced professional office environment. The successful candidate will assist with maintaining records, managing databases, supporting discovery-related processes, and ensuring information is accurate and up to date. This position requires excellent organizational skills, strong attention to detail, and the ability to effectively prioritize multiple assignments while meeting deadlines.

Essential Responsibilities

  • Create, maintain, and update databases to ensure accurate and organized recordkeeping.
  • Utilize database systems to date stamp, organize, and format discovery documents.
  • Assist with discovery research and process discovery-related requests in a timely manner.
  • Maintain and regularly update terminated and convicted assailant lists.
  • Monitor and maintain the case settlement review database, ensuring information is updated on a daily and weekly basis.
  • Organize, track, and maintain electronic and physical records as needed.
  • Prepare reports, correspondence, and other administrative documents.
  • Perform data entry with a high degree of accuracy while maintaining confidentiality.
  • Assist with general administrative duties, including filing, document management, and record maintenance.
  • Collaborate with team members to support office operations and complete special projects.
  • Perform additional administrative duties as assigned.

Required Qualifications

  • High school diploma or equivalent.
  • Previous administrative, clerical, office support, or database management experience preferred.
  • Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint.
  • Excellent organizational skills with exceptional attention to detail.
  • Ability to manage multiple tasks, prioritize assignments, and meet deadlines with minimal supervision.
  • Strong written and verbal communication skills.
  • Ability to maintain confidential and sensitive information.
  • Accurate data entry and record management skills.
  • Strong problem-solving abilities and a proactive approach to administrative support.

Preferred Qualifications

  • High School Diploma (preferred).
  • Experience maintaining databases and processing records.
  • Familiarity with discovery documentation or legal, investigative, or case management processes is a plus.
  • Experience working in a government, legal, or public sector environment is desirable.

Work Environment

This position is a full-time, onsite, one-year contract assignment located in Buffalo, NY. The Administrative Assistant will work 37.5 hours per week in a professional office environment, supporting database management, discovery-related activities, and general administrative operations while interacting with internal staff and stakeholders.
