The Administrative Assistant will provide comprehensive support to the Management Team while also taking on specific duties related to quality control and engineering documentation. This role requires a detail-oriented individual who can manage office tasks and contribute to the maintenance of quality standards and engineering records.

SKILLS/ABILITIES:

  • Excellent organizational and multitasking abilities.
  • Strong communication skills, both written and verbal.
  • Proficiency in managing databases, filing systems, and ERP systems.
  • Competency in creating correspondence, reports, and maintaining detailed records.
  • Knowledge of quality control practices and engineering documentation processes.
  • Ability to operate office machines, such as scanners and plotters.
  • Proficient in MS Office and other office productivity software.
  • Attention to detail with strong problem-solving skills.
DUTIES AND ESSENTIAL JOB FUNCTIONS:

The Administrative Assistant is responsible for:
  • Organize and schedule meetings for administrators and engineering teams.
  • Greet office visitors and direct them to the appropriate departments.
  • Compose, prepare, and review documents, reports, and engineering drawings.
  • Manage calendars, sort mail, and process quality control documentation.
  • Handle project documentation, correspondence, and maintain engineering records.
  • Perform data entry for reports, engineering/design items, and quality checks.
  • Coordinate the reproduction of engineering drawings and enter data into the ERP system.
  • Reconcile labels, inserts, and boxes according to regulatory compliance.
  • Assist multiple departments by providing clerical support and general office coordination.
OTHER FUNCTIONS AND RESPONSIBILITIES:

Other duties assigned as required by the Director of Operations.

PREFERRED JOB SPECIFICATIONS:
  • 2-year Associate's degree in Business or similar field.
  • Experience with working to a Quality Assurance program, e.g. ASME NQA-1, ISO-9001.
  • General knowledge of assembly shop & manufacturing activities/environment.
