Description
The Administrative Assistant is essential to ensuring adherence to regulations set by the Illinois Department on Aging and relevant federal and state law. The role maintains and audits a high volume of personnel files and reviewsand audits employee applications for completeness and accuracy, ensuring all preboarding requirements are fulfilled prior to onboarding.

Qualifications
- Strong organizational skills and basic office and computer skills
- Minimum of a High School Diploma or GED
- Strong interpersonal skills
- Proactive with good judgment, strong attention to detail, and problem-solving skills
- Ability to sit, stand, and walk for extended periods
- Manual dexterity to handle paperwork and operate office equipment (e.g., filing systems, scanners, printers)
- Prior office experience preferred
Job Duties
- Review and audit employee applications for completeness and accuracy, ensuring all preboarding requirements are fulfilled prior to onboarding.
- Conduct routine audits of personnel files to verify compliance with applicable federal and state regulations, identifying and resolving discrepancies in a timely manner.
- Perform accurate data entry and maintain organized, up-to-date employee records in accordance with internal policies and federal/state regulatory requirements.
- Respond to compliance inquiries and handle inbound calls with professionalism, providing clear guidance and appropriate escalation as needed.
- Stay current on evolving state and federal employment laws and regulations to support accurate, compliant HR practices.
- Safeguard the confidentiality of all employee information and sensitive company data in strict accordance with HIPAA and all applicable state and federal laws.
- Support the compliance team by taking on additional responsibilities as directed by management.
