Administrative Assistant - Manufacturing Plant
Location: Clackamas, OR
Full-Time | Onsite

Pay Rate:

  • $21.00 per hour to start
  • Increase to $21.50 per hour after 90 days based on performance and progress
  • Increase to $22.00 per hour if assignment extends beyond 6 months

Schedule:

  • Sunday through Thursday
  • 7:00 AM - 3:30 PM

Overtime: Occasional overtime may be available, but it is generally not required. Sundays may occasionally run longer due to weekly payroll processing deadlines. Daily responsibilities are structured to fit within a standard 8-hour workday, and priorities can be adjusted when necessary to accommodate unexpected business needs.

About the Role

We are seeking a highly organized, dependable, and detail-oriented Administrative Assistant to support the daily operations of a busy manufacturing facility. This position serves as a key administrative resource for plant operations, employee support, payroll processing, compliance activities, and front-office administration.

 

The ideal candidate will possess strong organizational skills, excellent customer service abilities, and the ability to effectively manage multiple priorities in a fast-paced environment.

 

Key Responsibilities

  • Serve as the primary front office contact for administrative support activities.
  • Answer and direct incoming phone calls professionally and efficiently.
  • Welcome visitors, vendors, and customers while providing excellent customer service.
  • Receive, sort, and distribute incoming mail and correspondence.
  • Manage hourly employee timekeeping records to support payroll processing.
  • Track attendance and assist with payroll-related administrative functions.
  • Distribute payroll checks to employees as needed.
  • Process daily retail sales transactions and invoicing activities.
  • Organize, scan, and maintain documentation for audits, compliance initiatives, and accounting processes.
  • Support ongoing records management and file organization projects, including document preparation for off-site storage.
  • Administer plant badge access requests and maintain access control records.
  • Conduct badge audits and ensure access information remains accurate and up to date.
  • Assist with special projects and perform additional administrative duties as assigned.

 

Qualifications

  • High School Diploma or GED required.
  • Minimum of 2 years of administrative experience required.
  • Manufacturing or production environment experience preferred.
  • Previous payroll or employee timekeeping experience is a plus.
  • Proficiency with Microsoft Office Suite, including Excel.
  • Experience with ERP systems such as M3, Workbrain, or Power BI is preferred but not required.
  • Strong organizational, multitasking, and problem-solving abilities.
  • Excellent verbal and written communication skills.
  • Professional customer service and interpersonal skills.
  • Ability to work independently and manage competing priorities.

 

Physical & Workplace Requirements

  • Candidate will regularly travel between office areas and the loading dock to pick up and deliver paperwork.
  • Must wear rubber-soled shoes while working in designated plant areas.
  • Ability to move throughout the facility and perform routine administrative duties in a manufacturing environment.
