Description/Job Summary
The TRIO Student Support Services (SSS) Program at Baltimore City Community College seeks a part-time, contractual Administrative Assistant to provide essential administrative and clerical support to the program. Responsibilities include managing correspondence, scheduling appointments, maintaining records, and assisting with basic bookkeeping and data entry tasks. This role requires strong organizational skills, attention to detail, and the ability to handle multiple tasks in a fast-paced environment, and communicate effectively with students, faculty, and staff. The ideal candidate is proactive, reliable, and possesses excellent communication and computer skills.

The Administrative Assistant will contribute to the program's mission to support first-generation, low-income, and/or disabled students by helping ensure the smooth operation of support services and outreach activities.

Responsibilities/Duties

  • Provide administrative and clerical support to the Director and TRIO SSS staff, including managing calendars, scheduling meetings, and preparing materials.
  • Maintain confidential and accurate program records for participants in both physical and digital formats.
  • Assist with the intake and orientation process for program participants, including distributing and collecting documentation.
  • Coordinate logistics for program workshops, cultural and educational events, and campus meetings.
  • Manage the TRIO SSS Calendar of Events and assist with event-related communication and reminders.
  • Serve as the first point of contact for inquiries, delivering courteous and student-centered customer service to students, faculty, and visitors.
  • Draft, edit, and distribute internal documents, including flyers, forms, reports, and announcements.
  • Support outreach efforts by helping to identify and engage eligible students and disseminating program information.
  • Assist in collecting and organizing data for federal reporting and internal tracking purposes.
  • Perform other administrative duties as assigned in support of the TRIO SSS program's objectives.
Required Qualifications
Education:
  • Associate degree from an accredited institution.
Experience:
  • Three (3) years of experience in a professional administrative office environment, which must include the following:
    1. Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software for databases, spreadsheets, and document creation.
    2. Supporting federal grant-funded programs such as TRIO or working in an educational setting is highly preferred.
Preferred Qualifications
  • Bachelor's degree from an accredited institution
  • Five (5) years of experience in an administrative or complex office management role.

  • Strong time-management skills and the ability to handle multiple priorities effectively.
  • Strong interpersonal skills and a customer-focused approach to service delivery.
  • Ability to work collaboratively in a team-oriented environment.
  • Success in overcoming barriers like those confronting the project's target population.
