Overview of Job

The Operations Coordinator plays a critical administrative and organizational role in supporting the Director of Operations and broader warehouse operations leadership. This position serves as the central point of coordination for scheduling, reporting, communication, and document management. The Operations Coordinator ensures that the Director of Operations and senior leadership team are fully supported in executing strategic and operational responsibilities.

Essential Duties and Responsibilities

Executive & Administrative Support

  • Provide direct administrative support to the Director of Operations, including calendar management, meeting coordination, travel arrangements, and task tracking.
  • Prepare, edit, and format executive-level communications, presentations, and reports.
  • Attend meetings as needed to capture minutes, summarize action items, and follow up on assigned tasks.
Operational Coordination
  • Assist with coordinating interdepartmental projects and initiatives across multiple warehouse locations.
  • Maintain project timelines, gather updates from DC and Campus Managers, and ensure proper documentation of progress.
  • Support KPI reporting by collecting, organizing, and formatting data submitted by various operations leaders.
Communication and Scheduling
  • Act as a liaison between the Director of Operations and internal stakeholders including warehouse leadership, HR, customer service, IT, and external partners.
  • Schedule recurring and ad hoc meetings, trainings, and site visits, ensuring all participants have relevant materials in advance.
  • Monitor and prioritize incoming requests, emails, and correspondence to ensure timely responses and delegation.
Document and Record Management
  • Organize and maintain digital and physical files related to audits, client contracts, SOPs, and operational projects.
  • Track policy updates and assist with the preparation of compliance documents, safety materials, and internal communications.
  • Ensure confidentiality and data security in managing sensitive business and personnel information.
Special Projects and Event Planning
  • Assist with planning internal meetings, town halls, client visits, and recognition events.
  • Coordinate logistics for multi-site initiatives including safety campaigns, training sessions, and process rollouts.
Required Skills and Qualifications
  • 2-4 years of experience in an administrative, project coordination, or operations support role.
  • Strong organizational skills with the ability to manage multiple priorities in a fast-paced environment.
  • Proficient in Microsoft Office Suite (Excel, PowerPoint, Outlook, Word) and project management tools.
  • Excellent written and verbal communication skills.
  • Discretion in handling confidential and time-sensitive information.
Preferred Qualifications
  • Associate's or Bachelor's degree in Business Administration, Logistics, or related field.
  • Experience supporting a Director or VP in a logistics, warehousing, or manufacturing environment.
  • Familiarity with KPI reporting and warehouse operations terminology.
