Administrative Assistant / Broker???s Assistant Commercial Real Estate Brokerage | Dallas, TX A highly successful commercial real estate brokerage team is seeking an experienced Administrative Assistant / Broker???s Assistant to support a fast-paced, high-producing group of brokers. This is not a traditional Executive Assistant role ??? the position is heavily focused on project coordination, research, data review, and client deliverables. The ideal candidate is detail-oriented, proactive, resourceful, and thrives in a deadline-driven environment. Key Responsibilities Support 3 primary brokers while assisting the broader brokerage/admin team as needed Work extensively in Excel reviewing and organizing: Rental rates Deal structures Operating expenses Lease obligations Market comparisons Create and update: Proposal summaries Lease abstracts Market surveys Client deliverables Manipulate and format PowerPoint presentations using existing templates Conduct market and property research, including outbound calls to leasing agents nationwide Assist with mapping and presentation materials by adding comps, logos, and property information Identify inconsistencies in data and proactively troubleshoot issues Follow up persistently to gather missing information and keep projects moving Provide backup support to the administrative team as needed Qualifications Required 2???3+ years of true office/corporate administrative experience Intermediate Excel skills Strong PowerPoint and formatting skills Strong attention to detail and organizational skills Ability to work independently and problem-solve Comfortable working in a fast-paced, high-demand environment Confident communicator who is willing to ask questions and follow up proactively Preferred Commercial real estate experience Research experience Experience conducting outbound calls for information gathering Ideal Candidate Profile Stable and experienced administrative professional Team-oriented with a strong work ethic Assertive, proactive, and resourceful Comfortable managing multiple priorities and shifting deadlines Able to ???manage up??? and keep projects moving with busy brokers Thrives in a collaborative but high-performance environment Additional Details Team structure includes multiple administrative professionals with strong backup support This role is heavily focused on deliverables and project execution ??? not calendar management, phones, or travel coordination Occasional overtime may be required based on active deals and deadlines Key Success Factors Strong attention to detail and analytical thinking Ownership mentality and follow-through Ability to think beyond templates and dig into details Persistence and accountability Comfort operating in a fast-moving brokerage environment
