Administrative Assistant – ECSD

NFI Massachusetts, Inc., a nonprofit human services organization, is seeking a detail-oriented and organized Administrative Assistant – ECSD to support the Case Management and Reentry Services program located at the Middleton Jail & House of Correctionunder the jurisdiction of the Essex County Sheriff's Department.

Working under the direction of the County Administrator, this role provides essential administrative and clerical support to ensure smooth day-to-day operations. The Administrative Assistant will play a key role in data tracking and reporting, onboarding coordination, and maintaining organized systems that support both administrative and clinical functions.

Key Responsibilities:

  • Maintain a structured data collection system to track program participants
  • Prepare and share data reports related to program demographics, implementation, and performance with ECSD personnel
  • Collaborate with the County Administrator on reporting processes and documentation
  • Assist with recruitment efforts, including screening support
  • Coordinate onboarding tasks with HR, including background clearances, personnel file compliance, and new hire orientation/training
  • Manage office inventory and order supplies as needed
  • Ensure compliance with HIPAA and confidentiality standards when handling sensitive information (PI/PHI)
  • Provide general administrative support including copying, faxing, posting communications, and preparing correspondence and reports
  • Record and maintain accurate meeting minutes and administrative documentation
  • Develop and maintain organized filing systems to support program operations
  • Perform other related duties as assigned

Qualifications:

  • Associate's degree or High School Diploma/GED with a minimum of 2 years of relevant experience (human services setting preferred)
  • Strong organizational, interpersonal, and communication skills (written and verbal)
  • Proficiency in Microsoft Outlook, Word, and Excel
  • Experience with electronic health records (EHR) and Human Resource Information Systems (HRIS) preferred
  • Ability to manage multiple priorities and maintain attention to detail in a fast-paced environment

Pay Range: $23.08 - $28.37 per hour
