Daughters of Charity in Emmitsburg, Maryland is seeking a full-time Administrative Assistant/Receptionist.
SUMMARY OF POSITION
This position is responsible for providing a broad range of administrative support services with primary responsibility for front-of-house access control, reception, and communications functions. The role requires sound judgment, initiative, and a strong understanding of company practices and policies. The ideal candidate will be highly organized, adaptable, and proficient in Microsoft Office applications, computer systems, and multi-line telephone operations. Success in this role requires the ability to interact professionally with Sisters, employees, and visitors while remaining flexible, proactive, resourceful, and efficient. A high degree of professionalism, discretion, and confidentiality is essential, along with excellent verbal communication skills and strong attention to detail.
ESSENTIAL FUNCTIONS
- Reception duties for the Emmitsburg campus; responsible for operating entry-control security procedures; provide and ensure reception and phone coverage during regular business hours; meet/greet visitors and direct as soon as they arrive. Issue, collect, and account for active security badges for visitors and arrange for visitor escorts, as needed.
- Communication duties for the Emmitsburg campus: operate the Campus multi-line phone system. Ensure phone coverage after regular business hours. Answer and direct all phone calls. As required, make announcements over the paging system and radios. Act as the initial communications center during emergencies. Maintain the in-house phone directory, print, and distribute as needed.
- Generates, types, composes, and revises correspondence and other printed material as assigned. Perform general clerical duties to include but not limited to photocopying, faxing, mailing, and
- Sign for UPS/FedEx or similarly delivered packages and coordinates package and mail distribution with appropriate individuals.
- Manage and organize reception area.
- Update calendars and information for meetings, visits, and events.
- Assist as needed with administrative support for Human Resources, Safety, Finance, Sister Support, and Hospitality.
- Research, price, and purchase office supplies and Stock the mailroom with office supplies and paper in copier.
- Maintains up-keep of administrative office equipment and orders supplies for equipment as needed.
- Perform other duties as assigned.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
Must be able to lift 10 pounds (with or without assistance). Must be able to sit, stand, bend, and walk for long periods of time.
EDUCATION AND EXPERIENCE
Hourly rate: $22.25
