Administrative Assistant

Our client, a respected nonprofit organization, is seeking a dedicated contract Administrative Assistant for approximately 1-2 months to bolster their team during the upcoming fundraising season. In this pivotal role, you will provide vital administrative, operational, and event coordination support for high-profile events. This position offers a unique opportunity to be at the heart of exciting community-based events, ensuring smooth execution and meaningful connections between sponsors, volunteers, and attendees.

Compensation:
$23-$24 per hour*
*Rate listed not guaranteed – potential offers vary based on experience level, qualifications, and internal equity and may be outside of this range.

Applicantsmust be able to work onsite 5 days per week in Boston, MAto be eligible for this position.

Responsibilities:
  • Coordinate with the team to streamline event planning and execution activities.
  • Maintain accurate and accessible electronic and physical files related to sponsors, vendors, and event details.
  • Manage deadlines and follow-ups through shared documents, spreadsheets, and project management tools.
  • Organize and prepare event materials, including signage, checklists, and run-of-show documents.
  • Draft, review, and send communication to sponsors, donors, volunteers, and participants.
  • Facilitate registration processes, guest lists, and on-site check-in procedures.
  • Support the set-up and breakdown of event spaces, ensuring all supplies and equipment are in place.
  • Assist with post-event follow-up, including thank-you notes, invoice processing, and reporting.
  • Collaborate with vendors and internal staff on administrative tasks like purchase orders and logistics.
  • Contribute to the successful execution of the event by supporting volunteer coordination and guest experience efforts.

Requirements:
  • High school diploma or equivalent required.
  • One to three years of experience in administrative, event support, nonprofit, customer service, or related fields.
  • Proven ability to support event logistics, manage databases, and communicate effectively with diverse stakeholders.
  • Demonstrated proficiency with Google Workspace (Gmail, Drive, Docs, Sheets, Calendar) and Microsoft Office (Word, Excel, PowerPoint, Outlook).
  • Experience with event management platforms.
