Overview
Job Responsibilities
• Manages day-to-day office operations to drive efficiencies, process improvement, organization, and excellent time management skills.
• Provides comprehensive administrative support to assigned executives to include managing complex calendars, scheduling meetings, and coordinating travel arrangements, when needed.
• Acts as a liaison between assigned executives and internal/external stakeholders ensuring effective communications (verbal and/or written). Handles confidential matters with discretion.
• Organizes and prepares presentations, reports, and documentation for executive meetings, board meetings, and other high-profile events. Drafts/prepares agendas, compiles materials, and takes minutes.
• Assists with special projects and operational support by tracking timelines, deliverables, and milestones, ensuring successful execution.
• Assists with research, data analysis, and preparation of key information to support decision making processes for assigned executives.
• Performs other duties as assigned.
Minimum Qualifications
4+ years as an Executive assistant or similar role supporting C-Suites or Senior Executives.
Minimum Education
Associate's degree in business, Communications, or related field or equivalent experience. Bachelor’s Degree preferred.
Special Skills
Provides high-level confidential executive support, including complex calendars and logistics, correspondence, and communication management exercising discretion, confidentiality, and independent judgment to meet operational needs.
Proven track record managing projects to meet project objectives and deliverables. Advanced proficiency in Microsoft 365 (Outlook, PowerPoint, Excel, Word) and other relevant tools and software.
Exceptional communication skills (written and verbal) with the ability to interact professionally with various internal and external leaders, team members, and individuals at all levels.
Ability to build trust, maintain discretion, and navigate sensitive Baptist Proprietary and Confidential situations.
Strong organizational skills with the ability to prioritize, problem solve and navigate in a fast-paced health care environment managing multiple organizational priorities.
