This is a part-time position, working approximately 10 hours per week with additional hours in May.
The Administrative Assistant provides administrative support to the Faith Forward grant through the Lilly Endowment. The grant serves 20 rural ELCA pastors annually, with an in-person event in May. The overall mission of the Administrative Assistant is to maintain and ensure a high level of productivity in the tasks set forth by the Faith Forward Director.
Essential Functions of Job:
To assist Faith Forward in the following ways:
A. Communications
Meet with and communicate with director on regular basis to address daily, weekly, monthly needs
Post 1-2 times weekly on social media
Use Canva to create posts and edit simple videos
Work with Faith Forward Director and Coaches to schedule meetings and interviews
Monthly Cohort Zoom Meetings (1st Thursday of each month, 12-1 p.m.) - sending out reminder emails, links, taking attendance as available
Check and monitor Faith Forward email accounts
B. Technology/Data Entry
Maintain and update contact lists through AirTable bases
Using Google Forms and Survey Monkey to gather information
Update Web site using WordPress, overseeing notifications, workshop registration and automated forms, writing short stories, etc.
C. Events/Special Projects
May requires extra hours for preparations and hosting in-person event
Planning-Setup-Execution-Cleanup for in-person kickoff and celebration events May 16-19
Handling reservations (hotels, meals, break snacks, transportation, meeting space)
Preparing supplies, helping prepare curriculum and scheduling (formatting, printing, assembling)
Communication with pastor participants in preparation for in-person event
Faith Kits and Gifts
Printing, coordinating student workers, oversee assembly and shipping for:
Advent kits
Lent kits
Parent and grandparent starter kits
Christmas gifts for pastors and teams
D. Bookkeeping
E. Other
Work with GV Staff and Faculty for Faith Forward engagement and support (book store, campus services, campus ministry, Luther Memorial Church, business office, advancement office)
Work with Evaluator and other Grant providers to execute grant requirements
Qualifications and Requirements:
Associate's degree with some course work in general business, marketing or management preferred
Good organization and communications skills required
Experience working in an academic environment
Strong computer and phone skills required
Working Conditions:
Requires periodic sitting for long periods while typing on the computer
Requires periodic repetitive standing, sitting, standing, sitting, etc.
Minor lifting, stretching, stooping, and moving (classroom tables, boxes, chairs, etc.)
