Administrative Assistant, Federal Programs

The position of an Administrative Assistant, Federal Programs will be available immediately at East Central ISD for the 2026-2027 school year. All individuals (district employees included) who are interested in this position must apply online through Frontline via the district website. PRIMARY PURPOSE: The Federal Programs administrative Assistant monitors and maintains the financial records for Federal Grants including tracking expenditures vs budget, processing grant receipts and accounts receivable, and providing monthly and annual financial reports in compliance with district accounting standards. This position is under the supervision of the Coordinator of Federal Programs and does not supervise other employees.

DUTIES AND RESPONSIBILITIES:

  • Provide high quality secretarial assistance to the Coordinator of Federal Programs and the Curriculum & Instruction Department.
  • Manage the organization, routine scheduling, and resources related to various activities associated with the office of ECISD's Coordinator of Federal Programs.
  • Effectively process and monitor the status of purchase orders, transfers, and contracts associated with specified federal, state, and local funding sources
  • Assist Federal Programs office, district-level departments and campuses in the distribution, collection, organization, and maintenance of auditable records and documentation to a variety of programs and services.
  • Be able to effectively communicate, prioritize and independently handle complex, detail oriented and time sensitive tasks.
  • Support the maintenance and monitoring of inventories documenting material and equipment purchased with state and/or federal grant funding.
  • Confidently prepare schedules, correspondences, reports, notices, and requests to ensure the office is able to effectively maintain a high volume of work and transparency with internal and external partners.
  • Assist as needed with the acquiring and delivering of supplies and materials to district departments, campuses, and program leads.
  • Comply at all times with district, state, and federal accounting practices and procedures
  • Perform other duties as assigned with a high level of customer service skills; courtesy, patience, persistence, and diplomacy.

MINIMUM QUALIFICATIONS:

Education/Certificate:

High school diploma or High School Equivalency Certification

Experience:

Must possess excellent organizational skills.

Must possess above average skills in the areas of typing and word processing.

Must demonstrate excellent communication and professional skills set.

Must possess acceptable computer proficiencies in PC platforms with experience in using Microsoft Office Suite and Google Applications.

Be fluent in English and Spanish, both oral and written.

Must perform duties with a minimum level of supervision.

EQUIPMENT USED: PC Computer, printer, scanner, calculator, paper shredder, copier, and telephone.

WORKING CONDITIONS: Mental Demands/Physical Demands/Environmental Factors: Maintain emotional control under stress; Normal office environment with frequent interruptions. Repetitive hand motions; prolong use of computer, Must be able to lift and carry light to heavy items (up to 45 pounds). Work inside and outside (exposure to sun, heat, cold and inclement weather); Travel to/from district departments, campuses, and local vendors/service agencies.

PERIOD OF EMPLOYMENT: 226 days basis
