This position is Onsite. Our office is located at Flexcare Infusion Center, 823 N San Francisco St, #2/G-1, Flagstaff, AZ 86004.

The  Administrative Assistant is responsible for interacting with guests in a healthcare setting and managing administrative tasks for the medical team. Their duties include welcoming patients and visitors, answering the telephone, and answering any inquiries. Scheduling appointments and keeping those appointments on time. Assist with tasks as directed by leadership.

This position is full-time (40 hours / week) Monday - Friday. Employees are required to have flexibility to work any of our 8 hour shift schedules during our normal business hours of 8:00 am - 4:30 pm. It may be necessary, given the business need, to work some holidays and overtime.

This will be an on the job training, training hours will be aligned with your schedule.

   

Primary Responsibilities:

  • Answers and re-routes incoming calls to the appropriate FlexCare staff members
  • Makes outgoing calls to patients and/or caregivers
  • Documents patient communications within our Electronic Medical Records
  • Handles all incoming and outgoing mail to ensure timely receipt or delivery to the intended recipient
  • Greets and checks-in patients and visitors for their scheduled appointment time
  • Completes patient check-out,  payment processing, and patient scheduling
  • Receives shipments and direct vendors when deliveries are scheduled  
  • Assist Clinic Manager in maintaining compliance with AZDHS and ACHC
  • Provides administrative support to the Clinic Manager
  • Monitors and maintains inventory for operational supplies and patient snack bar to ensure par level
  • Assists with maintaining a clean work environment for staff and patients that supports CDC recommendations
  • Assists patients with completing necessary forms and documentation.
  • Serve as primary point of contact when leadership is out of office
  • Assist with tasks as directed by leadership

Required Qualifications:

  • High School Diploma / GED OR equivalent work experience
  • Must be 18 years of age OR older
  • CPR or BLS certification (or ability to obtain CPR/BSL certification within 45 days of hire)
  • 2+ years of experience in an Administrative or office role
  • Command of Microsoft Office Word & Excel (Navigate through excel, open spreadsheets, basic formulas)
  • Experience with computers and Windows PC applications, which includes the ability to learn new and complex computer system applications
  • Able to work onsite at 823 N San Francisco St, #2/G-1, Flagstaff, AZ 86004

Preferred Qualifications:

  • Experience working in healthcare/medical insurance
  • Medical Assistant experience
  • Customer service experience 
  • Experience working in a role where multi-tasking abilities were required        
  • Familiar with medical terminology

Pay is based on several factors including but not limited to local labor markets, education, work experience, certifications, etc. In addition to your salary, we offer benefits such as, a comprehensive benefits package, incentive and recognition programs, equity stock purchase and 401k contribution (all benefits are subject to eligibility requirements). The hourly pay for this role will range from $18 - $32 per hour based on full-time employment. We comply with all minimum wage laws as applicable.
