Job Description

Position Summary:The Administrative Assistant is a vital role responsible for creating a welcoming atmosphere for all visitors and ensuring efficient communication across campus. This position involves managing inbound calls, greeting guests, and supporting the Dean's office with data tracking and program documentation tasks. By providing excellent customer service and support, the Receptionist supports program leadership, faculty, and students while ensuring continuity of operations and documentation necessary for ongoing compliance with accreditation standards.

Key Responsibilities Provide general administrative support to the Dean's office Manage email and phone communications Schedule meetings, interviews, and program events Maintain student, faculty, and program records in accordance with FERPA Assist with admissions activities including campus tours Maintain rosters, databases, and program tracking documents Order office and instructional supplies using university systems Serve as a professional point of contact for students, applicants, faculty, staff, and visitors Coordinate with institutional offices including Dean's Office, Registrar, IT, Facilities, and Finance Perform other related duties as assigned

Greet and assist all visitors to the campus, providing information and directing them to the appropriate departments or services.

Handle inbound calls, addressing inquiries and facilitating communication between the campus and external stakeholders.

Assist the Dean's office with electronic and hardcopy documentation tasks, ensuring accurate record-keeping and timely processing of materials.

Greet all campus visitors warmly and professionally, ensuring a positive first impression and providing exceptional customer service as a liaison between students, faculty and staff.

Answer incoming calls following established telephone techniques, efficiently directing inquiries to the appropriate personnel.

Provide comprehensive administrative assistance to faculty and staff, performing various tasks as needed.

Minimum Qualifications Associate's degree required; Bachelor's degree preferred Minimum 2 years of administrative experience Proficiency with Microsoft Office applications including, but not limited to, Word, Excel, Outlook, SharePoint, and Teams. Ability to manage multiple priorities and deadlines Ability to handle confidential information appropriately

Requirements Detail-oriented, analytical, highly organized, and have the ability to multi-task, prioritize tasks, and work well under pressure. Demonstrate a high level of integrity, strong work ethic, and professionalism. Persuasive and effective verbal and written communication skills, with a strong focus on customer service in an educational setting. Highly motivated and goal-oriented, with strong problem-solving skills. Must be able to work independently and as collaborative team member and have exceptional interpersonal skills.
