Job Summary
This position is responsible for providing professional administrative and reception support to ensure the efficient day-to-day operation of the office. Duties include answering and routing phone calls, greeting visitors, managing front-desk reception activities, scheduling appointments, coordinating travel arrangements, processing transactions, sorting mail, and supporting multiple leaders, including family members/owners. The role is also responsible for supporting internal operations with a high degree of organization, professionalism, discretion, and service excellence.
Responsibilities
- Provide administrative support to multiple leaders, including family members and owners, by managing priorities, coordinating follow-up, and helping ensure timely completion of key deliverables
- Maintain schedules, coordinate appointments, and assist with calendar management to support efficient day-to-day operations
- Coordinate travel arrangements and related logistics, including itineraries, scheduling details, and necessary administrative follow-up
- Support administrative projects and office initiatives, including social events, organizing information, preparing materials, and following through on action items
- Process routine transactions, manage mail distribution, and provide general office coordination to maintain organized and efficient internal operations
- Answer and route incoming calls and provide reception coverage for visitors as needed
- Perform other related duties as assigned
Key Qualifications
- BA/BS is preferred.
- Ability to effectively communicate with clients, managers, and intra-company departments with both excellent written and verbal skills.
- High energy, proactive, and highly organized with an ability to manage and complete multiple tasks on time.
- Highly proficient in Microsoft Office (Word, Excel, Outlook) Copilot a plus
- General Office Work Experience
- Bilingual English/Spanish highly preferred
