Graham Personnel Services is seeking an Administrative Assistant for a growing company in Greensboro.

We are seeking a highly organized and proactive Administrative Assistant to support daily operations across multiple departments, including Programs, Engineering, Sales, Support, and the Executive Team. This role is essential to maintaining an efficient, well-organized office environment and delivering a positive experience for employees and visitors alike.

The ideal candidate is a detail-oriented self-starter who thrives in a fast-paced environment and enjoys balancing a variety of administrative, operational, and event-related responsibilities.


Key Responsibilities
Administrative & Office Support
  • Provide administrative support to multiple departments and executive leadership
  • Coordinate company calendar, internal communications, surveys, and announcements
  • Maintain and update weekly and monthly KPI tracking reports
  • Prepare and submit monthly expense reports
  • Support document control processes and maintain organized records

Office & Facilities Coordination
  • Coordinate facility vendors and service providers, including maintenance, repairs, and construction projects
  • Manage office space, seating arrangements, and onboarding setup for new employees
  • Maintain company organizational and seating charts
  • Oversee office supply inventory and purchasing

Event & Hospitality Coordination
  • Plan and coordinate office meetings, company events, holiday parties, and customer events
  • Manage hospitality for visiting customers to ensure a professional and welcoming experience
  • Prepare and maintain lunchroom and common areas for daily use and events

Operations Support
  • Coordinate shipping, receiving, and U.S. mail distribution
  • Maintain accurate receiving records and documentation

Qualifications
  • High school diploma required; associate or bachelor’s degree preferred
  • Minimum of 2 years of office or administrative experience
  • Experience managing office operations or coordinating facilities/vendors strongly preferred
  • Event coordination experience is a plus
  • Strong organizational skills with high attention to detail
  • Self-motivated with the ability to manage multiple priorities
  • Excellent communication and problem-solving skills
  • Ability to work fully on-site
