Is This You?

As the Administrative Assistant to the Chairman of the Board, you will be responsible for managing high-level administrative functions, coordinating communications, and supporting business initiatives. You will serve as a key partner to executive leadership, ensuring efficiency, organization, and alignment with strategic priorities.

WHAT YOU'LL DO:
Administrative Support
  • Provide advanced administrative support to the Chairman of the Board and joint venture leadership with minimal supervision.
  • Manage written and electronic communications on behalf of leadership.
  • Draft correspondence, reports, and other materials that support executive effectiveness.
  • Handle highly confidential and time-sensitive information with discretion.
  • Perform administrative tasks including screening calls, scheduling appointments, maintaining filing systems, and coordinating meetings.

Calendar and Travel Management
  • Manage and maintain complex executive calendars, ensuring alignment with priorities.
  • Coordinate all aspects of travel arrangements, including logistics and documentation.
  • Anticipate scheduling conflicts and proactively resolve issues.
  • Prepare materials and itineraries for meetings, conferences, and appointments.

Communication and Correspondence
  • Review, prioritize, and manage incoming communications.
  • Draft and respond to communications on behalf of leadership as appropriate.
  • Prepare professional reports, presentations, and business materials.
  • Handle sensitive communications with professionalism and discretion.


Project and Initiative Support
  • Support business initiatives, including preparation of materials and follow-up actions.
  • Gather, compile, and organize information for reports and presentations.
  • Coordinate and support special projects and initiatives.
  • Track key action items and ensure deadlines and deliverables are met.

Judgment and Decision-Making
  • Exercise discretion and independent judgment in handling non-routine situations.
  • Plan, prioritize, and organize work independently.
  • Identify issues, recommend solutions, and take appropriate action to support leadership needs.


Work Environment
  • This role is based in the corporate office and requires regular interaction with employees, leadership, and clients.

Travel
  • Minimal travel required, with occasional travel to support branches or departments as needed.

Education and Experience

  • Strong proficiency in Microsoft Office tools required.
