Position Summary

The Whitnall School District is seeking a dedicated and organized Administrative Assistant for Whitnall Middle School. This individual will play a vital role in supporting our school''s daily operations, fostering a welcoming environment, and helping our students reach their personal learning goals.

Essential Functions

  • Data & Records Management: Maintain and submit accurate student attendance and enrollment data, files, and reports according to WSD, State, and Federal guidelines.

  • Communication & Customer Service: Research, retrieve, and provide information in a timely, professional manner in response to various staff and community inquiries.

  • Confidentiality: Handle non-routine information (both in-person and electronically) while maintaining strict confidentiality.

  • Administrative Support: Assist leadership with building-level project completions (including tracking accounts payable [AP], payroll, bookkeeping, and enrollment data) as requested.

  • Office Operations: Notify appropriate staff of schedule discrepancies, coordinate school meetings, and perform general office duties.

  • Team Collaboration: Work cooperatively with other administrative assistants across the district to cover for absences and complete shared tasks.

Qualifications & Requirements

  • Education: High school diploma or equivalent required (Associate's degree or higher in office administration or a related field preferred).

  • Experience: Previous experience in an administrative or school office setting is strongly preferred.

  • Technical Skills: Proficiency with Google Workspace (Docs, Sheets) and student information databases (eg. Infinite Campus).

  • Interpersonal Skills: Exceptional communication skills, strong attention to detail, and a welcoming demeanor for students, parents, and staff.

Job Details & Benefits

  • Position Type: Full-Time (School year - five (5) days prior to the teachers'' return and five (5) days following the conclusion of the teachers'' schedule each school year.)

  • Hours: 7:30 AM - 4:00 PM

  • Compensation: Competitive hourly wage commensurate with experience.

  • Benefits: Eligible for the district's comprehensive benefits package, including health, dental, vision.
