Job Requirements:




  • Education: Associate’s Degree in Accounting

  • At least ten years of experience as a accounting.

  • Work may only be performed on site. No remote work option.



 



Job Tasks:




  • Scheduling and coordinating HVAC installation and maintenance service calls using office scheduling software (e.g., ServiceTitan, QuickBooks Calendar, or similar).

  • Entering and maintaining client information, service records, equipment details, and invoices in the company’s CRM and accounting systems.

  • Supporting internal administrative procedures, such as creating basic office workflow templates (not software development).

  • Developing internal organizational guidelines related to appointment management, customer communication, service documentation, and inventory ordering.

  • Operating standard office equipment such as computers, printers, scanners, telephones, and communication systems to support HVAC field technicians.

  • Preparing and distributing work orders, service forms, and materials needed for HVAC technicians.

  • Assisting with coordination of service routes, technician schedules, and installation appointments.

  • Supporting the preparation of contracts, proposals, and compliance documentation for HVAC projects.

  • Monitoring inventory levels and assisting with ordering HVAC parts, materials, and supplies.

  • Develop organizational policies or programs” refers to assisting management with simple office administrative guidelines (ex: document routing steps, communication templates, appointment procedures).

  • “Coordinate operational activities” refers to coordinating daily workflows for HVAC technicians, scheduling service appointments, and ensuring required materials are prepared.

  • “Develop computer or online applications” refers NOT to software programming. It means creating basic online forms, templates, or entry fields in existing CRM or scheduling platforms to improve workflow efficiency.

  • Providing administrative support for internal training materials and reference documents about HVAC products and installation procedures
