The Administrative Assistant in High Point University's Counseling Center serves as a key member of the Counseling Services team, reporting directly to the Clinical Director of Counseling Services. This role supports the daily operations of the center by providing exceptional customer service to students, faculty, staff, and parents through in-person interactions, phone communication, and email correspondence. The position requires strong multitasking and organizational skills to ensure efficient office operations while delivering a welcoming, concierge-level experience for individuals seeking mental health support or information about counseling services.

QUALIFICATIONS

Education:

  • Bachelor's degree required. Significant computer knowledge (Microsoft Office, Excel, Outlook, Datatel, Titanium) is required.

Experience and Training:

  • 3 to 5 years of previous experience in a professional office setting; working at a college and/or university is preferred.

Knowledge, Skills, Ability:

  • Excellent written and oral communications skills
  • Strong interpersonal and organizational skills
  • Proficiency with Microsoft Suite programs
  • Understanding of confidentiality and ethical standards within a counseling office as required by HIPAA and FERPA.
  • Familiarity with EHR systems

ESSENTIAL FUNCTIONS:

  • Provides office coverage and reception to visits of the Counseling Center office beginning promptly at 8 am until 5 pm (at closing).
  • Provides assistance for students requesting counseling appointments, sending appointment reminders, and other student needs as they arise.
  • Provides administrative assistance to the Clinical Director as it pertains to purchasing, maintaining office supplies, work orders, processing mail, maintaining the reception area and other duties as assigned.
  • Manages office setting through day-to-day upkeep (sanitizing surfaces, organization, inventory, clean common spaces, etc.)
  • Assists in planning events hosted by the Counseling Center.
  • Always maintains confidentiality with students who visit the Counseling Center.
  • Provides phone assistance, taking messages, returning calls, and Counseling email within 24 hours.
  • Management of EHR operations.
  • Other duties as assigned
